Role Description The Patient Advocate serves as a key point of contact between patients, healthcare providers, insurance plans, and our internal teams to help ensure patients receive the medical equipment and services they need. In this role, you will assist patients throughout the referral and fulfillment process, provide clear communication regarding their orders and insurance coverage, and help resolve questions or concerns along the way. The ideal candidate is someone who enjoys helping people, communicates confidently, pays close attention to detail, and can effectively navigate multiple priorities in a fast-paced healthcare environment. This position is an excellent opportunity for someone with experience in healthcare, medical offices, DME, patient services, insurance, customer service, or provider relations who wants to make a direct impact on the patient experience. Responsibilities Serve as a knowledgeable and compassionate point of contact for patients throughout the referral, documentation, insurance verification, and order fulfillment process Communicate with patients by phone and other appropriate channels to provide updates, answer questions, and address concerns Explain the general process for obtaining covered medical equipment and assist patients in understanding next steps Coordinate with healthcare providers, physician offices, insurance plans, and Quantum Medical Supply departments to help move patient orders forward Follow up on outstanding documentation, prescriptions, medical records, authorizations, and other requirements needed to process patient orders Assist with insurance-related questions, including coverage, eligibility, deductibles, copays, coinsurance, and authorization requirements, while appropriately escalating questions when needed Maintain accurate and timely documentation of patient interactions, follow-ups, and order updates within company systems Protect patient privacy and maintain strict compliance with HIPAA and company confidentiality requirements Identify barriers that may delay an order and work collaboratively with internal teams to help resolve them Provide professional and empathetic service to patients, caregivers, and healthcare providers Collaborate with Customer Service, Provider Support, Intake, Verification, Chase, and other internal teams to ensure continuity throughout the patient journey Escalate complex patient concerns or service issues to the appropriate team member or manager Maintain a high level of professionalism while representing Quantum Medical Supply to patients and healthcare partners Qualifications & Skills 1+ year of experience in healthcare, medical office, DME, patient services, customer service, insurance, or a related field preferred Strong understanding of healthcare terminology and familiarity with medical documentation Experience working with insurance plans, eligibility, benefits, authorizations, or medical equipment is a plus Excellent verbal and written communication skills Strong customer service and interpersonal skills with the ability to communicate effectively with patients, caregivers, providers, and insurance representatives Ability to explain healthcare processes in a clear, professional, and easy-to-understand manner Strong attention to detail and ability to accurately document patient information and interactions Comfortable working in multiple systems and software Ability to manage multiple patient cases, follow-ups, and priorities in a fast‑paced environment Strong problem‑solving skills and the ability to take ownership of tasks through completion Ability to work independently while also collaborating effectively with a team Bilingual skills are a plus, particularly Spanish Knowledge of HIPAA and patient privacy requirements Previous DME, Medicare, medical supply, home healthcare, or provider‑office experience is highly preferred What We're Looking For The ideal candidate is patient, personable, resourceful, and dependable .
