Position Summary


The Procurement Assistant supports the organization's procurement and financial operations by processing invoices, maintaining procurement records, and ensuring accurate coding and payment activities. This position serves as a key liaison between vendors, finance, and internal departments to promote efficient purchasing processes, financial accuracy, and exceptional customer service.

Essential Duties & Responsibilities

Accounts Payable & Invoice Processing

• Process high-volume invoices accurately and efficiently using 10-key data entry.
• Verify invoices against purchase orders and receiving documentation through three-way matching procedures.
• Maintain coded invoices, invoice logs, charge sheets, and related financial documentation.
• Track invoice status and follow up on approvals, discrepancies, and missing documentation to support timely payment processing.
• Investigate and resolve discrepancies between purchase orders, invoices, and received goods.
• Communicate with vendors and internal departments to clarify and resolve billing issues.

Procurement & Financial Support

• Create purchase orders and maintain procurement records and documentation.
• Accurately assign general ledger (G/L) codes to procurement transactions in accordance with departmental budgets and cost centers.
• Reconcile procurement entries with financial reports and assist in identifying and correcting coding errors.
• Support audit readiness through organized recordkeeping and documentation maintenance.
• Assist with vendor relationship management and provide administrative support for procurement activities.
• Monitor purchasing activities and support process improvement initiatives designed to increase efficiency and accuracy.

Operational Excellence

• Maintain accurate data entry and procurement records.
• Assist with ongoing reviews of work processes and procedures and support performance improvement initiatives.
• Collaborate effectively with Finance, Procurement, and departmental staff to ensure operational goals are achieved.
• Support reporting activities related to procurement, accounts payable, and vendor performance.

Qualifications

Required

• High School Diploma or equivalent.
• One (1) year or more of experience in accounts payable, procurement, purchasing, bookkeeping, finance support, or a related field.
• Proficiency with Microsoft Office applications, particularly Excel, Word, and Outlook.
• Strong data entry and 10-key skills with a high level of accuracy and attention to detail.
• Ability to manage multiple priorities, meet deadlines, and maintain organized records.
• Strong communication, problem-solving, and customer service skills.

Preferred

• Associate's degree in Business, Accounting, Finance, or a related field.
• Experience with procurement, accounting, or ERP systems.
• Experience with invoice processing, purchase orders, general ledger coding, and three-way matching.
• Healthcare industry experience.
