The Warehouse/Showroom Manager is a people-focused leader responsible for the combined oversight of warehouse operations, the parts showroom and counter, and the aftermarket parts function. This role builds a capable, engaged, and customer-centered team; coaches employees; establishes clear expectations; and creates an environment of accountability and collaboration.

Position Responsibilities may include:

People Leadership and Team Development

• Lead, coach, and develop warehouse associates, drivers, and CSRs through regular one-on-one meetings, feedback, recognition, and performance discussions.
• Create a positive, inclusive, and accountable team culture centered on service, collaboration, trust, and continuous improvement, and build morale across the warehouse and showroom by demonstrating leadership and setting an example for staff.
• Set clear individual and team expectations, priorities, and performance goals aligned with department and company objectives.
• Identify development needs and provide training, mentoring, cross-training, and growth opportunities that strengthen team capability and succession readiness.
• Monitor workload and staffing needs, assign responsibilities effectively, and ensure the team has the resources and support needed to succeed.
• Address performance and employee-relations matters promptly, consistently, and in partnership with Human Resources; maintain working knowledge of company policies, procedures, and employee handbook policies.

• Promote open communication and serve as an approachable resource for employees, customers, and cross-functional partners.

Warehouse Operations and Safety

• Manage and oversee the day-to-day operations of the warehouse, ensuring staffing and assigned duties of all personnel are completed daily in a timely and safe manner.
• Establish warehouse practices and protocols to achieve efficient warehouse operations and identify and implement continuous improvement processes.
• Ensure the safe use of warehouse equipment and that employees complete pre- and post-shift forklift and truck inspections and report any concerns; maintain equipment and fix or replace malfunctioning equipment/trucks.
• Keep the warehouse and showroom organized, well stocked, and free from safety or security hazards; keep up to date on the latest federal and state safety regulations.
• Process and document transactions and reports timely and accurately (cycle counts, inventory, driver records, safety incidents, damaged product, etc.).
• Communicate with other departments to ensure timely and safe shipment of products.
• Assist with material handling at the warehouse including lifting; may operate hand and power equipment to accommodate storage of products throughout the warehouse and load/unload trucks as needed.

Forecasting and Inventory Management

• Own the parts demand forecast using sales history, installed base, open opportunities, service requirements, seasonality, market trends, and customer input.
• Partner with Sales, Service, Projects, Operations, and Supply Chain to review forecasts and translate expected demand into inventory plans.
• Establish and maintain appropriate stocking levels, reorder points, safety stock, and replenishment priorities by product and location.
• Balance product availability and customer service with working-capital objectives, inventory turns, and storage capacity.
• Stay current with part numbers and line codes; conduct cycle counts, audit and report inventory, and make recommendations on which items to order and restock.
• Monitor stockouts, backorders, excess inventory, aging, and obsolescence; lead corrective actions and disposition plans and keep dead stock at a minimum.
• Improve forecast accuracy through recurring reviews of actual demand, forecast variance, and changes in market conditions.

Parts Showroom and Counter Operations

• Oversee the day-to-day operation of the parts showroom and counter, including staffing, hours of coverage, opening and closing procedures, and the walk-in and will-call customer experience.
• Maintain showroom appearance and product presentation, ensuring displays and shelves are clean, organized, well stocked, and safely arranged.
• Determine which products are stocked and displayed on the showroom floor based on demand, seasonality, margin, and customer buying patterns; adjust merchandising as demand shifts.
• Ensure pricing, labeling, and signage are accurate and current, and that showroom stock is properly received, tagged, and reflected in the ERP system.
• Manage point-of-sale and counter transactions, including cash and payment handling, returns, warranty exchanges, and end-of-day reconciliation in line with company policy.
• Conduct cycle counts of showroom inventory and reconcile discrepancies between counter stock and system quantities.
• Coach counter staff on product knowledge, add-on selling, and resolving walk-in customer needs quickly and professionally.

Cross-Functional and Supplier Collaboration

• Build effective working relationships with Sales, Service, Project Management, Operations, Finance, and Supply Chain.
• Maintain responsive, professional relationships with manufacturers and suppliers to improve availability, lead times, and issue resolution.
• Communicate inventory risks, demand changes, service issues, and business opportunities clearly to leadership and key stakeholders.

Performance Measurement

• Establish, track, and communicate department KPIs, including revenue, gross margin, forecast accuracy, fill rate, stockouts, backorders, inventory turns, aging, quote response time, and quote-to-order conversion.
• Use data to identify root causes, set priorities, and create measurable improvement plans.

Nature & Scope:

• Leads people, processes, and department performance with limited supervision.
• Coordinates and supervises the daily activities of the warehouse and showroom teams.
• Sets priorities for the team to ensure task completion.
• Exercises sound judgment in balancing customer needs, team capacity, inventory availability, and financial objectives.
• Manages complex priorities and resolves issues through collaboration, data analysis, and timely decision-making; takes a new perspective on existing solutions.
• Coaches employees and reviews the quality, productivity, and accuracy of their work.
• Decisions and problem-solving are guided by policies, procedures, and the business plan; receives guidance and oversight from manager.
• Typically does not spend more than 20% of ones time performing the work supervised.

Knowledge & Skills:

• Demonstrated people leadership, coaching, performance management, and team-building ability.
• Strong communication, interpersonal, conflict-resolution, and relationship-management skills, including verbal, written, and presentation skills.
• Experience with demand forecasting, inventory planning, replenishment, cycle counts, and inventory optimization.
• Extensive knowledge of warehouse/inventory management and the ability to analyze sales and inventory data and translate findings into practical actions.
• Strong knowledge of HVAC systems, aftermarket parts, and related customer applications.
• Ability to lead and collaborate across functions to keep parts availability aligned with sales, service, and customer commitments.
• Retail or wholesale counter operations knowledge, including merchandising, product presentation, pricing accuracy, and point-of-sale/cash handling controls.
• Customer-focused, organized, collaborative, and comfortable working across departments; high-quality customer service skills with the ability to handle difficult customers in a positive manner.
• Strong organizational and time management skills, ability to effectively delegate tasks, and a high level of attention to detail and accuracy.
• Excellent problem-solving skills, with the ability to apply sound judgment, strong work ethic, and integrity on the job.
• Proficiency with ERP/CRM platforms and Microsoft Excel, Word, PowerPoint, Outlook, and related business tools.
• Ability to safely operate a forklift with a valid forklift operator certification, and to train and certify warehouse associates and drivers.
• Ability to perform duties in a safe manner and follow safety protocols and regulations.

Preferred Skills:

• Knowledge of HVAC products and industry trends.
• Experience in B2B.
• Experience managing a parts counter, will-call desk, or retail/wholesale showroom.

Experience:

• 5+ years of experience in warehouse or shipping operations, HVAC aftermarket parts, inventory management, service coordination, supply chain, or technical sales.
• 3+ years of people management or team leadership experience, including coaching and performance management.
• Demonstrated responsibility for forecasting and inventory performance preferred.
• Experience overseeing a parts counter, will-call desk, or retail/wholesale showroom preferred.

Education/Certification:

• Associate degree from a two-year college or technical school, or an equivalent combination of education, training, and relevant experience.
• Bachelor's degree in business, supply chain, operations, or a related field is preferred.
• High School diploma or GED equivalent.

Reports To: Director, Operations - Applied Rep

Salary Range: $80,168.40 - $95,000
