About the Position

We are seeking a highly organized, motivated, and tech-savvy Part-Time Administrative & Marketing Assistant to support multiple growing businesses across sports, youth enrichment, athletic facilities, and business development.

This role combines administrative support, digital marketing, business research, and artificial intelligence.

A major focus of this position will be using AI tools to increase productivity, streamline operations, and improve marketing effectiveness.

The ideal candidate is someone who embraces technology, enjoys learning new AI applications, and can independently manage projects.

We are looking for someone who can work smarter by leveraging AI and automation rather than relying solely on traditional administrative methods.

1. Artificial Intelligence & Automation

AI proficiency is a key requirement for this position.

Responsibilities include:

• Utilize ChatGPT and Claude for business research, content creation, and administrative tasks.
• Use AI to draft and improve emails, marketing campaigns, and business communications.
• Develop AI-assisted social media content, captions, and promotional materials.
• Use AI tools to create business presentations, reports, and documents.
• Research and implement AI solutions that improve daily business operations.
• Build and maintain spreadsheets and databases using AI-assisted workflows.
• Identify opportunities to automate repetitive administrative tasks.
• Use AI to research companies, industries, and business opportunities.
• Assist with creating AI-powered marketing workflows.
• Utilize tools such as Canva AI and other content creation platforms.
• Help organize information and improve internal processes using AI.
• Stay current on emerging AI tools and recommend useful applications.

Candidates do not need experience with every platform but should demonstrate strong proficiency with ChatGPT or Claude and a willingness to learn additional tools.

1. Administrative Support

• Manage calendars and schedule meetings.
• Organize emails and assist with correspondence.
• Maintain spreadsheets, documents, and contact databases.
• Track tasks, deadlines, and follow-up communications.
• Coordinate meetings with business partners and clients.
• Organize digital files and business documents.
• Assist with general administrative responsibilities.
• Help streamline daily workflows through AI and automation.

1. Marketing & Social Media

• Create and schedule social media content.
• Assist with Instagram, Facebook, and LinkedIn marketing.
• Develop email marketing campaigns.
• Create graphics, flyers, and promotional materials using Canva.
• Utilize AI to develop marketing ideas and content.
• Assist with website content and updates.
• Coordinate marketing campaigns for events and programs.
• Track campaign results, leads, and customer engagement.
• Help improve marketing efficiency through AI tools.

1. Business Research & Development

• Research companies, industries, and potential business opportunities.
• Identify business owners and key decision-makers.
• Build and maintain business contact databases.
• Assist with email outreach and follow-ups.
• Organize business development opportunities.
• Use AI to support market research and competitive analysis.
• Prepare basic reports, presentations, and spreadsheets.
• Help track prospective business partnerships and acquisition opportunities.

Required Qualifications

• Strong working knowledge of ChatGPT, Claude, or similar AI platforms.
