Overview

The Maintenance Coordinator owns all maintenance operations and communication, ensuring fast response times and efficient vendor coordination across the portfolio.

Core Responsibilities

Maintenance Management

• Receive and manage all maintenance requests
• Dispatch vendors and coordinate scheduling
• Track all work orders through completion
• Follow up with tenants and vendors

Vendor Management

• Maintain vendor relationships
• Ensure quality and timeliness of work
• Obtain quotes when required
• Onboard new vendors and ensure compliance

Move-Outs

• Receive and manage all maintenance requests from PM
• Dispatch vendors and coordinate scheduling
• Track all work orders through completion
• Follow up with tenants and vendors

Communication

• Provide updates to tenants and PMs
• Escalate major issues to PMs for approval

Phones (Shared Responsibility)

• Answer inbound calls, especially maintenance-related
• Support general call routing when needed

Cross-Coverage Requirement

• Must be able to fully cover leasing role when needed
• Includes: Answering phones, Logging inquiries, Basic leasing/admin support
