Spectra Tech, LLC, is currently looking for a Facilities Project Coordinator to work on a government project at Aberdeen Proving Ground in Aberdeen, Maryland. This position is full-time and onsite at Aberdeen Proving Ground (APG). ResponsibilitiesServes as the primary onsite liaison for the Contracting Officer's Representative (COR), conducting daily site walkthroughs to monitor subcontractor progress and verify alignment with contract drawings and the Scope of Work (SOW)Implements and reports on Construction Quality Management (CQM-C) standards across all project phases, inspecting trade work, documenting non-conformance, and managing the project punch listActively monitors site safety in compliance with OSHA-30 standards, ensuring subcontractor adherence to safety protocols and exercising Stop-Work Authority to mitigate immediate field hazardsCoordinates day-to-day project documentation, including writing detailed meeting minutes, tracking action items, and managing the RFI and submittal pipelines to prevent scheduling delaysMaintains, updates, and manages master project schedules to track trade performance, coordinate sequences, and guarantee key project milestones are metReviews the Scopes of Work (SOWs) and assist in validating estimates for project modifications, change orders, and trade packages on renovations up to and exceeding $20MCompiles and manages final project closeout deliverables, including as-built drawings, warranties, O&M manuals, and official records required for final government acceptanceEstablishes and maintains procedures for tracking necessary information to respond to taskers and information inquiriesPrepares responses to taskers and information inquiries from senior level managementCollects, analyzes, and summarizes relevant technical and programmatic information from a variety of sources in support of ARL's missionCoordinates and organizes meetings, workshops, tours, or other special events – to include setting up displays pertaining to laboratories and experimental facilitiesMonitors progress of technical programs, to include topics such as maintaining and modifying program schedules; tracking milestones and deliverables; analyzing staffing requirements; tracking, analyzing, and projecting budget data, preparing modeling and simulation and/or systems engineering plansDevelops and recommends procedures for tracking administrative requirements and develop and recommend a system to continually improve efficiency and performance in these areasAnalyzes technical and non-technical aspects of a given business unit and suggest metrics for trackingTracks, reviews, and analyzes branch, division, or other work unit performance versus established metricsTracks and monitors business unit or program requirements in the areas of safety, security, environment, or other administrative areasCreates, customizes, prepares, and maintains presentations, briefing charts, and technical and nontechnical documents using computer software (e.g., Microsoft Office Suite), websites, graphical elements, scanned photos, and other presentation matterResponsible for preparing documentation from draft to final formSupports meetings and special events for the organization (e.g., Days of Remembrance, Organizational Day, Bring-Your-Child-to-Work Day), to include coordinating attendance, amenities and accommodations at the event. Plans and schedules conferences, tours, working lunches, symposiums and meetingsSchedules room for meetings, coordinates lunch requests, notifies attendees, and coordinates Video TeleconferenceHandles conference requirements and any other special requirements for meeting/conference/project (reserves parking spaces, directional signs, registration desk, name plates, table tents, etc.), and follow through on activities to accomplish the ARL missionEstablishes and maintains office databases such as calendars to include scheduling meetings/conferences and office information such as phone numbers, locations, and addressesOperates various office equipmentProvides on-the-job training to other contractor personnelParticipates in projects from inception to completion; provide the status of projects associated with ARL building and facilitySupports with multiple renovation and construction-work projects being performedCompletes weekly project status reports and provides to the Contract Program ManagerRequired QualificationsU.S. Citizenship is required per contract to obtain and maintain a U.S. Department of Defense Secret ClearanceBachelor's degree and one (1) year specialized experience; or three (3) years of specialized experienceExperience in using Microsoft Office Suite, specifically Power Point, Excel, Word, AccessKnowledge of and experience with proper English grammar, spelling, capitalization, and punctuationAbility to learn Government acronyms and abbreviationsExperience in conducting tours, visits arrangements, and organization-wide eventsCapable of learning and utilizing current business management tools and databases such as eARL; GFEBS; Automated, Time, Attendance and Production System (ATAAPS); Defense Travel System (DTS) or any successor systemsAbility to effectively communicate verbally and in writing with internal and external organizationsAbility to interpret and implement SOPs and IOPsAbility to provide on-the-job training to other ContractorsPhysical RequirementsProlonged periods sitting at a desk and working on a computerMust be able to lift up to 15 pounds at timesSee details of objects that are more than a few feet awayUse fingers to grasp, move, or assemble very small objectsMake fast, repeated movements of fingers, hands, and wristsSee differences between colors, shades, and brightnessHold the arm and hand in one position or hold the hand steady while moving the armUse one or two hands to grasp, move, or assemble objects We are an Equal Employment/Affirmative Action employer.
