TRANSPORTATION SPECIALIST

Compensation Salary Schedule Overview This position is reserved for departments with a business model supporting multiple sites, i.e.) Transportation, Food & Nutrition Services, Central Support Services. Under general supervision, the purpose of this position is to collect and analyze pertinent data; effectively use problem-solving skills; work as part of a team with staff or other departments; identify important issues or problems in areas of responsibility; share ideas with others in a clear and informative manner. They must keep the senior transportation staff informed of critical transportation issues within the department and district about which they should be aware. May perform a portion of the described responsibilities as directed. Responsibilities and Qualifications EXAMPLES OF ESSENTIAL FUNCTIONS Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light. Screen, prioritize, route and/or respond to telephone calls and correspondence; assist callers with questions or concerns regarding Transportation/departmental operations. Analyze reports and other documents as directed by the Senior Director. Provide professional staff support to senior management on individual and group major projects and manage minor projects, as assigned. Oversee the development of correspondence for senior management and review all materials submitted for signature to ensure accuracy and necessary approvals before they are signed. Create and/or generate weekly, quarterly, and annual analytical reports for utilization by senior management, including dissemination of data. Provide research for senior management upon request, web based & hard copy; locate reports from other districts (topic specific); locate specific articles (topic specific). Research and develop data bases for key Transportation KPI's and Strategy Maps. Monitor and track all contracts/agreements approved by Transportation Services for the district. Train clerical employees and other managers on specific functions and tasks, as needed. Responsible for preparation of materials, i.e. handouts, for presentations by senior transportation staff. Respond to both the public and district employees' questions regarding transportation policies and management directives, and serve on committees, as assigned. Respond to research requests from the general public as assigned by supervisor. Route mail to Senior Director for appropriate action. Research and create materials for transportation meetings and workshops. Serve as liaison between transportation senior staff, community and other governmental agencies for scheduling appointments, meetings, etc. Manage the proper maintenance of the Senior Director's calendar, including scheduling of meetings, appointments, and speaking engagements. Respond, as needed, to callers on behalf of Transportation Services in a professional and effective manner including calls that may require input from the third party adjusters. Maintain cooperative relationships with all district departments. Troubleshoot and investigate complex problems within the functional area. May be responsible for preparation and projections of annual departmental reports; maintaining current district-wide charts, monitoring completion and submittal of, and generated data base reports such as departmental scorecards, SEA, etc. Proofread/edit, reports, scorecards, publications, etc. Coordinate tasks and assignments of department classified staff member. May serve as office administrator to classified staff and implement office procedures. Keep transportation senior staff informed of critical issues within the department and district about which they should be aware. Provide administrative support and coordination of various task force and committee activities. Serve as liaison between transportation senior staff, community and other governmental agencies for scheduling appointments, meetings, etc. Preparation of annual departmental reports; maintaining current district-wide charts, monitoring completion and submittal of, and generated data base reports such as departmental scorecards, SEA, etc. Proofread/edit, reports, scorecards, publications, etc. Create and/or generate weekly, quarterly, and annual analytical reports for utilization by senior management, including dissemination of data. Accesses database information; analyzes, compiles, and interprets information presented on system. Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs. Demonstrates competency in the use of Microsoft Office to include but not limited to Word, Excel and Power Point. Operates a variety of machinery, equipment, and tools associated with department activities, which may include a copy and fax machine. Keeps the Senior Director, Transportation Services informed of critical issues with the section and incidents about which s/he should be aware. Maintains confidentiality regarding transportation issues. Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position. Responsible for timely and accurate information they maintain as part of their job responsibilities. MARGINAL FUNCTIONS While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members. Performs related duties as directed. MINIMUM TRAINING AND EXPERIENCE High school diploma or GED; supplemented by college-level course work or vocational training in business or other appropriate field; supplemented by five (5) years of related experience or an equivalent combination of education, training, and experience. Associates degree or higher preferred. Five (5) years of experience using Excel for data collection and analysis. Two (2) years of experience with spreadsheets and creating spreadsheets in Excel. Advanced Excel skills required. PERFORMANCE APTITUDES Data Utilization : Requires the ability to review, classify, categorize, prioritize, and/or analyze data and/or information. Includes exercising discretion in determining data classification, and in referencing such analysis to established standards for the purpose of recognizing actual or probable interactive effects and relationships.
Human Interaction : Requires the ability to provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards to specific situations. Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate and control the actions of equipment, machinery, tools and/or materials requiring complex and rapid adjustments. Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data and information. Mathematical Aptitude : Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs. Functional Reasoning : Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives. Situational Reasoning : Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving the evaluation of information against sensory, judgmental, or subjective criteria, as opposed to that which is clearly measurable or verifiable. ADA COMPLIANCE Physical Ability : Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation. Sensory Requirements : Some tasks require visual perception and discrimination. Some tasks require oral communications ability. Environmental Factors : Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, animals/wildlife, toxic/poisonous agents, violence, disease, or pathogenic substances.
