We're seeking a highly organized and proactive Maintenance Coordinator to join a growing property management and renovation team serving apartments and residential properties throughout the Madison area.

This position will focus heavily on coordinating apartment turnovers, home renovations, and remodeling projects. You'll work closely with maintenance technicians, contractors, vendors, and property managers to ensure vacant units and homes are repaired, updated, and ready for new residents on schedule.

What You'll Do

• Coordinate apartment turnovers and residential remodeling projects from initial inspection through final completion.
• Review turnover scopes and help identify necessary repairs, replacements, cleaning, painting, flooring, and cosmetic improvements.
• Schedule and coordinate maintenance technicians, remodeling crews, cleaners, painters, flooring installers, and outside contractors.
• Develop project schedules and ensure work is completed before established move-in or project deadlines.
• Monitor the progress of each turnover or renovation and provide regular updates to property managers and other stakeholders.
• Conduct or coordinate pre-project, progress, and final inspections to confirm work meets expectations.
• Receive, prioritize, and dispatch maintenance work orders to internal technicians and third-party contractors.
• Coordinate repairs, preventative maintenance, inspections, and vendor appointments while minimizing delays.
• Obtain and compare vendor quotes, schedule contracted work, and assist with vendor performance management.
• Order and coordinate delivery of materials, fixtures, appliances, and maintenance supplies needed for projects.
• Track project costs, labor hours, invoices, purchase orders, and material expenses.
• Maintain accurate work-order records, project documentation, vendor information, and service histories within property management software.
• Communicate with residents, property managers, maintenance staff, and vendors throughout the repair or renovation process.
• Identify scheduling conflicts, material delays, and other project challenges before they affect completion dates.
• Help identify recurring maintenance concerns and recommend practical, cost-effective improvements.
• Ensure maintenance and renovation work complies with company policies, safety standards, and applicable housing requirements.
• Provide professional and responsive customer service during high-volume turnover and renovation periods.

What We're Looking For

• Previous experience coordinating apartment turnovers, residential renovations, remodeling projects, maintenance operations, construction, property management, or a related field.
• Strong project coordination and scheduling skills.
• Ability to manage multiple active turnovers, work orders, and renovation projects simultaneously.
• Working knowledge of common residential repairs and improvements, including painting, flooring, drywall, plumbing fixtures, cabinetry, appliances, and finish work.
• Experience coordinating contractors, vendors, and internal maintenance or renovation crews.
• Strong attention to detail and the ability to recognize incomplete or below-standard work.
• Excellent communication, organization, and follow-through.
• Ability to track budgets, labor hours, materials, invoices, and project deadlines.
• Proficiency with Microsoft Outlook, Excel, and Word.
• Experience using work-order, scheduling, construction, or property management software preferred.
• Ability to remain calm, flexible, and solutions-focused when project needs or timelines change.
• Residential, multifamily, construction, or remodeling experience is highly preferred.

Preferred Qualifications

• Experience coordinating apartment turnovers or make-ready projects.
• Experience with residential remodeling, renovation, or construction projects.
• Familiarity with property management software such as Yardi, AppFolio, RealPage, Entrata, or similar systems.
• Knowledge of general building maintenance and construction terminology.
• Experience obtaining contractor bids and managing vendor relationships.
• Familiarity with project budgeting, purchasing, and material coordination.
• Ability to read basic project scopes, inspection reports, estimates, or construction plans.
