This is a detail-oriented role designed for an HR professional who can operate independently, manage competing priorities with minimal direction, and support both the employee experience and the day-to-day mechanics of an efficient HR team.Reporting to the VP, Human Resources, the People Operations Coordinator will own the administrative and coordination layer of the recruiting process — partnering with external recruiting partners on candidate flow — while also supporting onboarding, HR recordkeeping, benefits administration, and general HR operations. This role is not a full-cycle recruiter to start; sourcing and candidate relationship management are handled through search firms and hiring managers. The Coordinator ensures the process runs smoothly, candidates and hiring managers are well-supported, and the HR function operates with accuracy and consistency.This role is designed with intentional flexibility. As the department evolves, the Coordinator will have the opportunity to expand into HR data reporting, process documentation, and broader administrative ownership — growing alongside the organization based on individual capability and organizational need.**Key Responsibilities****Talent Acquisition Coordination*** Manage job postings across internal and external platforms (LinkedIn, company website, SHRM, Indeed, and others) in coordination with hiring managers* Serve as the primary day-to-day contact for external recruiting firms — manage candidate submissions, communicate feedback, and maintain an organized pipeline* Coordinate all interview scheduling between candidates, hiring managers, and HR — manage logistics, confirmations, and day-of support* Initiate and manage background check processes for all candidates prior to hire* Maintain candidate data and requisition information in the ATS with accuracy and timeliness* Send offer letters and manage pre-hire communication in coordination with the VP, HR**Onboarding & Offboarding*** Coordinate new hire onboarding logistics — paperwork collection, systems access requests, Day 1 scheduling, and orientation support* Complete I-9 verification and E-Verify processing for all new hires in compliance with federal requirements* Support new hire orientation in coordination with Sr. HR Generalist* Coordinate offboarding processes — system access termination, exit documentation, and separation checklists**HR Operations, Recordkeeping & Reporting*** Maintain employee personnel files and HR documentation in compliance with recordkeeping requirements* Support HRIS data entry — new hires, terminations, status changes, and personnel updates* Respond to employment verification requests and unemployment claims documentation* Support compliance tracking — labor law postings, training completion records, and related documentation* Assist with standard HR reporting — headcount, turnover, and people metrics as assigned; with opportunity to own this function over time* Maintain and update HR SharePoint — resources, forms, policy documents, and employee-facing HR communications**Benefits & Administrative Support*** Support benefits administration — assist employees with enrollment questions, qualifying life events, and basic benefit inquiries* Assist with benefits billing reconciliation and vendor invoice tracking as needed* Support open enrollment logistics — communications, scheduling, and employee materials**General HR Support*** Serve as a front-line resource for employee HR questions — direct inquiries to the appropriate team member* Support planning and coordination of employee programs, recognition initiatives, and HR-related events* Assist the Sr. HR Generalist and VP, HR with special projects and evolving HR initiatives* Maintain confidentiality of all employee and organizational information at all times## Qualifications**Required Qualifications*** 3+ years of experience in an HR or recruitment-focused role* Strong organizational skills with the ability to manage multiple open priorities simultaneously and with minimal oversight* Demonstrated experience with HRIS platforms and Applicant Tracking Systems — ability to administer, troubleshoot, and train others on systems; prior experience with HiBob and/or Paylocity a plus* Proficiency with Microsoft Office Suite — particularly Outlook, Word, Excel, and Teams* Clear, professional written and verbal communication skills* Demonstrated ability to handle confidential information with discretion and professionalism* Comfortable operating independently in a lean, fast-paced team environment — able to identify what needs to be done and execute without being directed* Experience supporting full-cycle hiring coordination in a multi-requisition environment**Preferred Qualifications*** Experience in a technology, professional services, financial services, or PE-backed company environment* Familiarity with background check platforms and I-9/E-Verify processes* Prior experience coordinating with external staffing agencies or recruiting vendors* Exposure to benefits administration, open enrollment support, or HR reporting* Bachelor's degree in Human Resources, Business Administration, or a related field preferred* PHR, aPHR, or SHRM-CP certification, or active pursuit**Role Context & Growth**This role joins a lean HR team and is designed with intentional flexibility.
