Purpose

The Manager, Accounts Payable executes SENTRE's accounts payable process across the portfolio and is accountable for invoice management, AP payment processing, vendor management and compliance, utility management, and AP software administration. Operating within SENTRE's tiered approval workflow and under the oversight of the Director, Accounting, the role ensures vendors are paid accurately and according to terms through weekly payment runs, vendor and utility records remain current and compliant, and AP is accurately stated for each monthly close and year-end reporting cycle. Success is measured by invoice cycle time, percentage of payments made electronically, vendor file compliance and 1099 filing.

Responsibilities

Invoice Management

• Receive, review, and code vendor invoices to the appropriate property, GL account, routing for approval in accordance with SENTRE's approval matrix;
• Resolve invoice discrepancies, disputes, and coding exceptions with vendors and Management teams, maintaining organized, audit-ready records within Yardi;
• Collect and review corporate/property credit card receipts and supporting documentation, coding monthly transactions to the appropriate property GL account;
• Reconcile credit card statements and resolve discrepancies with cardholders and the Accounting team;

AP Payment Processing

• Prepare, verify, and process weekly payment runs (check, ACH, and wire) in accordance with vendor terms and cash management guidance, maintaining supporting documentation for all disbursements;
• Respond to and resolve vendor payment inquiries and discrepancies, and support month-end/year-end close by ensuring AP is accurately stated. Recommend process improvements to increase AP efficiency;

Vendor Management & Compliance

• Onboard new vendors (W-9 collection, COI verification, and Yardi setup) and monitor active vendor files for current compliance documentation, flagging lapses for resolution;
• Prepare and file annual 1099s and serve as the point of contact for vendor account questions, escalating risk or compliance concerns as needed;

Utility Management

• Set up, transfer, and close utility accounts across the portfolio in coordination with the Management team;
• Monitor utility invoices for accuracy and unusual usage/cost variances, maintaining account records and researching account balance transfers;

Property Tax Management

• Track, process, and pay property taxes to ensure accurate and timely payment;

Qualifications

• Minimum 3 years' experience in accounts payable, ideally within commercial or multifamily real estate;
• Proficient knowledge of Yardi and Microsoft Office 365, particularly Excel;
• Strong attention to detail and ability to manage high transaction volume with accuracy;
• Ability to read, analyze, and interpret vendor contracts, invoices, and lease-related billing terms;
• Strong organizational and communication skills, with the ability to work cross-functionally with Management, Accounting, and vendors;
