Our client is a fast-growing, client-focused wealth management firm dedicated to delivering exceptional financial planning and service to collegiate and professional athletes, coaches, and high-net-worth clients.

They are seeking a highly organized and proactive Insurance Operations Associate to support the day-to-day execution of the firm’s insurance business. This person will play a key role in managing new insurance cases, coordinating underwriting requirements, servicing existing policies, and ensuring each case moves efficiently from application through policy delivery.

\n

The ideal candidate has a strong insurance operations background, excellent attention to detail, and the ability to manage multiple cases while providing a high level of service to advisors and clients.

Key Responsibilities:

\n

\n

Insurance New Business & Case Management:

\n

\n

\n
• Manage life insurance new business from application submission through underwriting and policy delivery
\n
• Prepare, review, and submit insurance applications with a high level of accuracy
\n
• Track cases throughout the underwriting process and proactively follow up on outstanding requirements
\n
• Coordinate medical exams, records, and other underwriting requirements
\n
• Communicate with insurance carriers, underwriters, advisors, and clients to keep cases moving forward
\n
• Monitor pending business and provide regular status updates to the advisory team
\n

Policy Service & Client Support:

\n

\n

\n
• Support ongoing servicing of existing insurance policies
\n
• Process beneficiary and ownership changes, policy loans, premium payments, and other policy updates
\n
• Assist clients with insurance-related service requests and paperwork
\n
• Research and resolve policy or carrier-related issues
\n
• Maintain accurate policy information and documentation within internal systems
\n
• Provide a responsive, high-touch experience for clients throughout the insurance process
\n

Advisor & Team Support:

\n

\n

\n
• Serve as the primary operational resource for insurance-related questions and requests
\n
• Support advisors with insurance applications, illustrations, forms, and case preparation
\n
• Coordinate with internal team members to ensure insurance needs are handled accurately and efficiently
\n
• Anticipate next steps and proactively communicate outstanding requirements or potential delays
\n

Operations & Process Improvement:

\n

\n
• Maintain accurate CRM, case management, and insurance records
\n
• Ensure workflows remain organized and deadlines are consistently met
\n
• Identify opportunities to improve insurance processes and increase efficiency
\n
• Help develop scalable workflows and procedures as the firm continues to grow
\n

\n

Qualifications:

\n

\n

\n
• Previous experience in life insurance operations, new business, case management, or policy servicing
\n
• Active Life & Health Insurance license required
\n
• Experience working with life insurance carriers and underwriting processes
\n
• Strong understanding of insurance applications, policy servicing, and new business workflows
\n
• Excellent attention to detail and organizational skills
\n
• Ability to manage multiple cases and priorities in a fast-paced environment
\n
• Strong written and verbal communication skills
\n
• Comfortable communicating directly with clients, advisors, carriers, and underwriters
\n
• Experience with CRM, insurance case management, or financial services platforms preferred
\n
• Wealth management or financial planning firm experience is a plus, but not required
\n
