The New Mexico Department of Information Technology is the enterprise technology partner serving and supporting state agencies with innovative solutions to advance the delivery of their core missions and create progress for all New Mexicans.


Account Services Division (ASD) provides administrative services to the Department in support of the Department¿s mission. The program is responsible for the Department¿s administrative policies and procedures.

Interviews are anticipated to be conducted within two weeks of closing date.


Why does the job exist?

The job exists to monitor and account for Accounts Receivables. Accounts Receivables are to be accounted for in an efficient and timely manner in accordance with Section 6-10-3 NMSA 1978. Prepare deposit slip for check transactions and scanned into Wells Fargo Bank within 24 hours of receipt. Deposits and Operating transfers will be entered into cash log which will be reconciled to general ledger on a daily basis to ensure all items are recorded. Deposits and Operating transfers shall be entered into SHARE-Accounts Receivable module when made available for posting. Keeping up with weekly aging report that includes reconciliation daily on customers accounts. Work with customers to collect on outstanding balances, provide missing invoices and/or additional detail for billable charges. Works with the billing department for billing accuracy and disconnect of services as needed.


How does it get done?

- Assist customers with inquiries.
- Work with customers to reconcile and collect on accounts, includes providing customers with invoices and/or statement on accounts. Update correspondence log, save to shared drive.
- Create manual invoices when necessary and apply debit and credit memos accordingly.
- Prepare journal entries in SHARE accounts receivable subsidiary ledger and necessary corrections in SHARE general ledger module.
- Reconciliations of AR transactions between SHARE Accounts Receivable and General Ledger modules.
- Review and reconcile over/under payments. Analyze billings in Billing module and work with Billings department to determine discrepancies
-Prepare daily deposit, post Operating Transfers into SHARE AR and update cash log, rotation basis every other week.
-Post daily deposit in SHARE AR, rotation basis every other week.
-Assist with maintenance of the Accounts Receivable aging report to ensure timely payments are being received
-Process monthly billing upload
-Create new customer accounts in SHARE AR module.
-Reconcile DoIT internal billing for accuracy, work with departments and disconnect services as needed.
-Ensure accountability of the department's compliance with laws, rules, and regulations
-Provide cross training to fellow team members and being back-up to the General Ledger Bureau.

Ideal Candidate

Ideal Candidate has:
- Experience in receiving and posting payments to an Accounts Receivable system.
- Experience in running queries in General Ledger and Accounts Receivable modules.
- Ability to perform research
- Proficient skills in Microsoft Excel, Word and Outlook. Creating pivot tables and formulas on excel worksheets.
- Ability to communicate effectively for the purpose of initiating collections of outstanding receivables.
- Excellent customer service skills


Minimum Qualification

Bachelor's Degree in accounting, economics, finance, or business administration and three (3) years of experience in accounting, finance, economics, and/or statistical analysis. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling seven (7) years may substitute for the required education and experience.


Employment Requirements

Must possess and maintain current ID or Driver's License. Pre-employment background investigation is required, and employment is conditional pending results.


Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT), extensive personal computer and phone usage.
