Job Description Summary This role supports and assists the Community Manager in overseeing and managing the financial and operational facets by completing accounting and bookkeeping tasks, preparing monthly close-out and financial reports, processing invoices, collecting rent, managing bank deposits, and using property management software to record, track, and report financial activities. Job Description Completes daily transactions related to financial operations, such as collecting and posting rent, preparing bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operates property management software (Yardi/OneSite) and completes transactions by entering all required fields correctly and by completing updates and back‑ups to ensure system integrity. Reviews resident files and accounting records to determine unpaid or late fees owed, communicates with residents regarding outstanding balances, implements procedures for collecting on delinquencies, and enforces lease terms to maximize revenue. Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining Community Manager approval, coding charges to appropriate Chart of Accounts, and managing communication between vendor/contractor, accounting, and client/owner as needed. Follows the company’s established procedures related to evictions by following proper notice requirements, evicting residents through legal channels, and representing the community in court hearings and eviction proceedings. Processes resident move‑outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, and processing the disposition according to procedures and legal requirements. Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve service issues. Acts as on‑site supervisor in the absence of the Community Manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks, and managing community operations in compliance with policies and procedures. Assists in managing client/owner relationships by meeting with owners, conducting community tours, providing updates on performance, and responding to owner requests. May assist and/or support leasing and marketing efforts by greeting prospective residents, gathering information via Guest Card, showing ready apartments and models, closing and obtaining lease deposits, and helping the prospective resident complete rental applications and credit verification. For California only: The Assistant Community Manager or Leasing Manager must review all completed move‑in files prior to submission to the Community Manager for approval. Basic Knowledge & Qualifications Bachelor’s degree in Business Management, Communications, or a related field from an accredited college or university. 1‑3 years minimum of relevant experience in residence life and/or property management demonstrating application of community management, sales, marketing, and customer service to manage day‑to‑day operations, resolve complaints, complete financial records, increase sales revenue, and coordinate a team. Understanding of lease terms and lease enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented and self‑motivated with ability to work independently and as part of a team. Specialized Skills All required licenses and/or certifications as mandated by state and local jurisdictions. Valid driver’s license to operate a golf cart on property. Proficiency in Internet, word processing, spreadsheet, and database management programs to complete required reports and documents. Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.). Travel / Physical Demands Work primarily in an office environment but may have frequent exposure to outdoor elements; must physically access all exterior and interior parts of the property and amenities. Must be able to push, pull, lift, carry, or maneuver weights up to twenty (20) pounds independently and fifty (50) pounds with assistance. Routine local travel may be required for bank deposits, training classes, or other duties. Rare or occasional travel may be required for business meetings, training programs, or related activities. The hourly range for this position is $24.00 - $25.00. 40% Housing Discount. Preferred Bilingual Preferred bilingual. Additional Compensation Corporate Positions: In addition to the base salary, may be eligible to participate in quarterly or annual bonus programs based on individual and company performance. On‑site Property Positions: In addition to the base salary, may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
