We are seeking a Front Office Lead to join our team at Christian Life Counseling, with flexible hours ranging from 28-35 hours per week. This leadership role is central to supporting our front office team, clients, and therapists through excellent service, organization, and communication. The ideal candidate will have experience credentialing providers with insurance companies, coordinating closely with our off-site billing service, and managing billing follow-up tasks not handled externally. This person will lead and support our front office team, serve as a liaison between ownership and staff, and ensure smooth day-to-day operations by coordinating with therapists and managing all front office and client needs. A calm, warm, and confident demeanor is essential, along with the ability to stay focused and organized amid frequent interruptions. Strong communication and writing skills are required, as well as solid technical ability. We are looking for someone who is self-directed, takes initiative, and thrives in a collaborative, service-oriented environment.

Responsibilities:

• Train new staff
• Provide thorough and accurate information to clients about our services and obtain the required information
• Schedule appointments, check in clients and collect payments and balances
• Document and update client records based on interactions
• Document and maintain shared data
• Develop and maintain a knowledge base of the evolving services, provider selection and insurance information
• Maintain office organization, light cleaning
• Effectively respond to specific provider requests
• Maintain a high level of privacy adhering to HIPAA guidelines
• Lead, train, and support front office team members to ensure consistent, high-quality client service and smooth daily operations
• Credential providers with insurance companies, including applications, follow-ups, and re-credentialing as needed
• Coordinate closely with the off-site billing company to address account issues, claims, and insurance discrepancies
• Manage billing follow-up tasks not handled by the billing company, including client balances and insurance clarifications
• Oversee client scheduling and ensure accuracy and efficiency within the practice’s scheduling system
• Collaborate with therapists to coordinate client care, scheduling needs, and communication flow
• Provide excellent customer service by answering client questions, assisting with service information, and resolving concerns with professionalism and warmth
• Verify insurance benefits and assist clients with understanding coverage and financial responsibility
• Maintain organized systems for client records, client records release and retrieval, insurance documentation, and internal processes
• Must be proficient in Microsoft word and outlook
• Typical office duties in an outpatient mental health setting
