Executive Meeting Manager

Division Hilton Scottsdale Resort and Villas Description The Executive Meeting Manager is responsible for managing all aspects of corporate and executive meetings, conferences, and special events at the hotel. This includes working closely with clients to plan, organize, and execute seamless meetings, ensuring that all their requirements are met to the highest standard. The ideal candidate is an experienced event professional with exceptional organizational, communication, and customer service skills. How You’ll Shape The Experience & Future Serve as the main point of contact for all clients booking executive meetings and corporate events. Collaborate with clients to understand their needs, expectations, and objectives, and provide customized solutions to ensure their success. Provide expert advice and guidance on event planning, meeting space options, audio-visual requirements, catering, and logistics. Oversee the execution of all corporate meetings and executive events from pre-arrival through post-event follow-up. Coordinate with internal departments, including catering, housekeeping, front desk, and audio-visual teams, to ensure all client specifications are met. Ensure a timely and efficient setup of meeting rooms, including seating arrangements, technology, and special requests. Actively promote and upsell additional hotel services and amenities (e.g., catering options, meeting packages, A/V equipment, etc.). Work with the sales team to convert leads into successful bookings, ensuring maximum revenue generation for the hotel. Maintain constant communication with clients before, during, and after events to ensure satisfaction and address any last-minute changes or issues. Proactively troubleshoot and resolve any concerns related to event logistics, service, or equipment. Ensure accurate and timely billing for all meetings and events. Prepare and distribute event contracts, ensuring all details and terms are clearly defined. Maintain organized records of client communications, event details, and contracts. Develop detailed event itineraries and timelines to ensure smooth operations for each meeting or event. Coordinate travel arrangements, accommodations, and any off-site activities as needed for clients. Gather client feedback to assess the success of events and identify areas for improvement. Follow up with clients after events to ensure their satisfaction and encourage repeat business. Other duties as assigned. KEY STRENGTHS FOR SUCCESS Strong communication and interpersonal skills. ACADEMIC BACKGROUND Bachelor’s degree in Hospitality, Business, Marketing, or related field preferred, or equivalent experience in hotel sales/meeting management.
