Job Title: Accounting Assistant

Job Summary: We are hiring an Accounting Assistant to assist with the financial and administrative tasks for our contracting business. The role involves using QuickBooks to maintain accurate records and following a set schedule of daily, weekly, and monthly tasks.

Responsibilities

• Receivables:
  • ​​​​​​​ Generate, review, and issue accurate, timely customer invoices and progress billings. 
  • Process and post incoming customer payments (ACH, wire, checks, credit cards) and reconcile daily cash receipts against general ledger entries.
• Payables: 
  • ​​​​​​​​​​​​​​ Review and match vendor invoices to purchase orders. 
  • Prepare weekly check runs, ACH transfers, and wire payments.
  • Reconcile sales tax liability accounts on the general ledger against collected tax reports to verify accurate reporting prior to disbursement.
• Administrative Tasks:  
  • Screen and route incoming calls, emails, and physical mail, addressing inquiries directly or triaging to the appropriate team members.
  • Maintain organized digital and physical business records.

Requirements

• Experience with QuickBooks Desktop
  • Knowledge of basic accounting and bookkeeping roles
  • Construction/contractor accounting experience highly preferred
• Basic proficiency in Excel and general computer skills.
• Reliable and organized.
• Ability to learn and follow established office workflows.
