HR/HVAC Service Coordinator

to support daily HVAC service operations and human resources functions. This position requires strong organizational skills, experience in the skilled trades industry, and hands-on knowledge of HR procedures, employee relations, benefits administration, and Connecticut employment laws. Essential Duties and Responsibilities Responsibilities include, but are not limited to: Human Resources & Employee Administration Handle employee write-ups, disciplinary actions, and corrective action documentation. Maintain employee personnel files, onboarding paperwork, and termination records. Prepare and file workers' compensation claims, insurance claims, and unemployment packets. Manage employee insurance enrollment, benefits changes, and insurance-related issues. Ensure compliance with Connecticut employment laws and HR policies. Assist management with employee relations, performance issues, and HR documentation. HVAC Service Coordination Schedule and dispatch HVAC technicians, manage service calendars, and coordinate daily operations. Create, update, and close out work orders in Service Titan. Handle customer calls, scheduling, service updates, and customer concerns. Apply for and track permits, inspections, and warranty registrations. Manage maintenance agreements, renewals, and service appointments. Coordinate with technicians, vendors, and management to ensure efficient operations. QuickBooks Online & Administrative Support Process invoices, customer payments, vendor payments, and billing documentation. Assist with accounts payable, accounts receivable, and payment tracking. Maintain accurate records, purchase orders, and service documentation. Assist with employee timecards and operational reporting. Provide general administrative support to management and field teams. Requirements Extensive QuickBooks Online experience required. Minimum 1 year of ServiceTitan experience required. Previous hands-on HR experience required. Strong knowledge of Connecticut employment laws required. Experience with disciplinary actions, workers' compensation, insurance claims, benefits enrollment, and unemployment filings. Minimum 2 years of experience in HVAC, plumbing, electrical, or a related service industry. Strong organizational, communication, and multitasking skills. Ability to maintain confidentiality and handle sensitive employee matters. Bilingual English/Spanish is a plus.
