Project Accounting CoordinatorHardy Corporation is seeking an experienced, highly organized, and results-driven Project Accounting Coordinator to join our Accounting Department.This is a key position responsible for managing the contract billing process, maintaining accurate job cost records, overseeing accounts receivable collections, and supporting the financial administration of our construction projects.The ideal candidate is detail-oriented, dependable, proactive, and comfortable managing multiple deadlines in a fast-paced environment. We are looking for someone who takes ownership of their responsibilities, follows through on commitments, and isn't afraid to have difficult conversations when necessary to get results.Key ResponsibilitiesJob Cost Accounting & Financial TrackingEstablish new projects in the accounting system, ensuring accurate job setup, contract information, budgets, and required documentation.Coordinate project bonds, certificates of insurance, and other contractual documentation.Upload original estimates and budgets and maintain accurate job cost information.Track and maintain contract values, approved and pending change orders, and revised project budgets.Ensure all required documentation is completed and properly maintained throughout the project lifecycle.Monitor project cost projections, estimated costs to complete, and budget revisions in coordination with Project Managers.Review project billing status, under-billings, and outstanding receivables to identify potential concerns.Support monthly accounting close by ensuring billing, contract values, change orders, and job cost information are accurate and current.Identify discrepancies and work proactively with Project Managers and Accounting to resolve them.Contract Billing & Accounts ReceivableManage monthly contract billing for all active construction projects, ensuring invoices are accurate, complete, and submitted on time.Work closely with Project Managers to review project progress, billing projections, change orders, and monthly billing requirements.Monitor project under-billings and proactively identify opportunities to improve billing and cash flow.Maintain accurate accounts receivable records and aggressively manage collection efforts on outstanding balances.Monitor aging reports and maintain a company-wide Days Sales Outstanding (DSO) target below 50 days.Communicate directly with customers, general contractors, and Project Managers to resolve billing disputes, payment delays, and outstanding balances.Track retainage balances and pursue timely collection when contract requirements are satisfied.QualificationsRequiredMinimum 5 years of experience in accounts receivable, contract billing, and collections.Strong understanding of billing processes, accounts receivable aging, and collection procedures.Exceptional organizational skills and ability to manage multiple projects and deadlines simultaneously.Strong attention to detail, accuracy, and documentation.Excellent written and verbal communication skills.Proficiency in Microsoft Excel and accounting software.Ability to work independently, prioritize responsibilities, and consistently meet deadlines.PreferredExperience in commercial construction, mechanical contracting, or a related industry.Experience with AIA billing, schedule of values, retainage, and construction change orders.Familiarity with job cost accounting, percentage-of-completion accounting, and project cost projections.What It Takes to Be SuccessfulWe are looking for someone who:Takes Ownership: Accepts responsibility for the entire billing and collection process and follows through until issues are resolved.Pays Attention to Details: Values accuracy, follows established procedures, and maintains complete documentation.Drives Results: Understands that timely billing and collections directly impact company cash flow.Communicates Confidently: Is comfortable following up with customers, Project Managers, and leadership to obtain information and resolve issues.Stays Organized: Manages multiple projects, competing priorities, and recurring deadlines without losing track of details.Works as a Team Player: Builds strong working relationships while maintaining accountability and high standards.Our Core ValuesAt Hardy Corporation, our team is built around three core values:Trustworthy – We do what we say we will do.Positive Work Ethic – We take pride in our work and strive for excellence.Team Player – We work together to achieve results.If you are an experienced billing and accounts receivable professional who enjoys organization, accountability, and making a measurable impact, we encourage you to apply.Join Hardy Corporation and become an important part of a team committed to excellence, integrity, and continued growth.BenefitsPaid Vacation and Sick TimeMedical, Dental, and Vision InsuranceLife and Disability Insurance401(k) Retirement PlanPaid Holidays Hardy Corporation
