Job Title: District Data Specialist Department: Technology Reports to: Technology Director Classification: 260 Day Exempt/Classified Salary Range: Starting Salary Range $54,500 or commensurate with experience Job Summary The District Data Specialist oversees the management, configuration, optimization, and daily operation of the district's Student Information System (SIS), PowerSchool. This position is directly responsible for ensuring data integrity and executing all compliance reporting mandates required by the Indiana Department of Education (IDOE). The ideal candidate acts as the primary conduit between database management, district administrative leadership, and state regulatory compliance, providing critical technical support, customization, and staff professional development across all school buildings Essential Duties & Responsibilities 1. PowerSchool System Administration & Customization Manage day-to-day administration of PowerSchool SIS, including user permissions, security groups, and security configurations. Configure and manage core system components specialized page layouts. Oversee system integration data flows between PowerSchool and third-party software platforms (Clever, Canvas, cafeteria software, transportation systems, etc.). Coordinate the annual PowerSchool End-of-Year (EOY) rollover process and set up the subsequent school year environment. Manage student enrollment process for new and returning students 2. Indiana State Compliance & Reporting Serve as the district’s primary technical expert and point of contact for all Indiana Department of Education (IDOE) data submissions. Validate, prepare, and deliver data via the Indiana Data Exchange framework. Manage and troubleshoot all data collections Collaborate extensively with the Special Education, English Learner (EL), Title I, and other departments to ensure compliant reporting of student programmatic designations. Monitor changes in Indiana state statutes and IDOE reporting layouts; adjust internal data entry procedures and customize validation checks accordingly to eliminate compliance errors before final submission deadlines. Attend all UNITE meetings and provide data reporting updates to internal users 3. Data Integrity, Analysis, & Quality Assurance Design, execute, and monitor routine data audit processes to identify discrepancies, missing fields, or conflicting student records. Formulate custom reports utilizing PowerSchool to fulfill ad-hoc administrative data requests. Maintain historical data repositories and ensure strict adherence to state and federal student record retention timelines and policies. 4. Training, Support, & Documentation Deliver technical support and training to administrators, faculty and staff related to PowerSchool, state reporting, and connected programs. Develop, update, and publish clear, localized step-by-step user guides and documentation covering proper enrollment, attendance, and grading workflows. Required Knowledge, Skills, & Abilities Technical Mastery: Advanced knowledge of PowerSchool SIS architecture, data schemes, field mapping, and system security administration. State Compliance Savvy: Thorough familiarity with Indiana public school funding mechanics, IDOE data frameworks, and Ed-Fi operational logic. Database Proficiency: Proficient in standard data formats (CSV, XML, JSON) and a firm conceptual understanding of relational databases. Information Security: Deep working familiarity with the Family Educational Rights and Privacy Act (FERPA) and student data privacy standards. Communication Expertise: Proven capability to translate highly technical data specifications into plain, operational language for non-technical building personnel. Qualifications & Experience Education: High school diploma. Bachelor’s degree in Database Management or a related field is preferred. Experience: Minimum of 2–4 years of direct hands‑on experience managing PowerSchool SIS and state reporting. Physical Demands & Work Environment Standard office environment with frequent sedentary tasks, computer operations, and data entry. Occasional travel between district school buildings for on‑site support and training. Must be capable of managing high‑stress situations during critical state validation and sign‑off windows.
