Executive Assistant/Office Manager

The Windfall is partnering with an Investment Management Firm located in Flatiron, NY that is seeking to hire an Executive Assistant/Office Manager. You will be joining a close-knit team of eight employees based in New York City, providing Executive Assistance support and managing day to day office operations. You will be working alongside and reporting into the Chief of Staff who will be integral in the training process and growing your career. Daily hours are 10:00am6:00pm ET, in the office TuesdayThursday and WFH Mondays and Fridays. The team also works remotely throughout August and during the last two weeks of December.

Responsibilities:

• Manage executive calendars, appointments, and scheduling
• Coordinate internal and external meetings and communicate scheduling changes
• Resolve calendar conflicts and adjust schedules as priorities change
• Provide day-to-day administrative support to executives and the broader team
• Oversee daily office operations and maintain an organized working environment
• Coordinate office supplies, equipment, and vendor needs
• Prepare meeting spaces and coordinate meeting logistics
• Handle confidential information and correspondence with discretion
• Work alongside other administrative staff to coordinate coverage and support
• Participate in training to learn the firm's systems, processes, and executive preferences
• Assist with office projects and events, as needed
• Order and stock kitchen and office supplies

Requirements:

• 1+ year of similar prior experience or incredible internships in Hedge Funds, PE, or Consulting
• Strong organizational skills and attention to detail
• Ability to manage calendars, coordinate schedules, and prioritize competing requests
• Interest in executive support and office management
• Willingness to learn and participate in extensive training
• Ability to work with Microsoft Office and Google Workspace, including Gmail
• Strong written and verbal communication skills
• Professionalism and discretion when handling confidential information
• Team-minded approach and willingness to assist colleagues
• Proactive approach to resolving scheduling and office needs
• Flexibility to adapt to changing priorities in a small team environment
