Expense Reporting Specialist

Position Overview

We are seeking a detail-oriented Expense Report Processing Specialist to support a high-volume payroll and expense processing team. This individual will be responsible for reviewing, auditing, and processing employee expense reports while ensuring accuracy, compliance with company policies, and adherence to established deadlines.

The ideal candidate has experience with expense report processing, SAP Concur, or similar expense management platforms, along with a strong background in payroll operations. This role requires exceptional attention to detail, analytical problem-solving skills, and the ability to communicate effectively with employees and internal stakeholders.

Key Responsibilities

• Process high volumes of expense report data accurately and within established deadlines.
• Review expense reports, receipts, dates, and supporting documentation to ensure accuracy and compliance.
• Apply company policies and applicable government regulations when processing expense reports.
• Review audit reports to identify processing discrepancies, system errors, and potential payment issues.
• Communicate with employees to research expense-related questions, resolve discrepancies, and request corrections as needed.
• Review contracts and apply specialized processing requirements for specific workforce groups, including union employees.
• Support specialized payroll and expense processing activities that require detailed knowledge of payroll procedures.
• Organize and maintain accurate records to support processing activities and prevent incorrect expense payments.
• Assist with special projects, process improvements, and testing of new systems or system enhancements.
• Provide training and guidance to team members as needed.
• Escalate significant discrepancies or processing concerns to the Payroll Supervisor.

Required Qualifications

• Associate's degree or equivalent combination of education, experience, or training.
• Minimum of 5 years of experience working in a high-volume, multi-state payroll department.
• Strong attention to detail and ability to accurately review receipts, dates, and expense report information.
• Ability to interpret and consistently apply company policies and procedures.
• Strong analytical and problem-solving skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and meet strict deadlines with minimal supervision.

Preferred Qualifications

• Previous experience processing employee expense reports.
• Hands-on experience with SAP Concur or similar expense management platforms.
• Familiarity with basic accounting principles.
• Experience supporting payroll operations in a large, multi-state organization.
