Required Skills & Experience: 12+ years of experience specialized directly in order administration, returns, and fulfillment (Ideal for an Order Admin 1 or 2 looking for room to grow). Strong, hands-on proficiency with order management/ERP systemsspecifically Salesforce, NetSuite, and Zendesk. Absolute professional fluency in English (written and verbal) for internal communications and day-to-day operations. High attention to detail, strong organizational skills, and a team-first mindset.

Nice to Have Skills & Experience: Prior exposure to or everyday use of AI tools (Claude, Gemini, Glean). Experience troubleshooting logistical challenges involving physical hardware or complex returns pipelines.

Job Description: We are seeking an operations-focused Operations & Returns Specialist (Order Admin) to support accurate and efficient order processing and returns management for the Operations team. In this role, you will ensure customers receive timely and correct shipments by working closely with Sales, Fulfillment, and Finance to manage incoming orders, resolve discrepancies, and process daily transactions.

This role is not strictly data entryyou will be heavily on the hook for managing physical product returns, generating return labels for items that need to come back, and executing transactions directly in internal systems upon receipt of physical inventory. This is a collaborative environment (50/50 IC vs team collaboration) utilizing modern productivity and AI tools.

Example Project Daily Fulfillment & Returns The specialist will own the execution of daily returns and fulfillment transactions.

Responsibilities include: Handling a daily volume of 30 to 50 return labels for physical products that require tracking back to operations. Troubleshooting system discrepancies or delays when physical items take longer than 2 weeks to clear. Utilizing modern generative AI tools (Claude, Gemini, Glean) to automate messaging, troubleshoot, and streamline internal workflows. Key Responsibilities & Qualifications Manage the end-to-end transaction processing for returns and fulfillment operations. Create and issue 3050 physical product return labels daily and troubleshoot missing or delayed shipments. Enter and process customer orders with a high degree of accuracy. Utilize Salesforce, NetSuite, and Zendesk daily to maintain documentation, tracking, and compliance. Coordinate cross-functionally via Slack with internal collaborators and stakeholders. Complete a structured 3-week training program led by Tania and a Senior Order Admin 2.
