ABOUT THE ROLE

The Patient Service Representative serves as the first point of contact for patients calling or arriving at the clinic. This position is responsible for greeting and checking-in patients, obtaining patient information, collecting payments, assisting with necessary paperwork, and fulfilling other customer service or administrative duties.

WHAT YOU WILL DO

• Register, schedule, and reschedule patients for new and follow-up appointments while ensuring an efficient and positive patient experience.
• Answer incoming patient calls, address questions, and provide timely, courteous assistance.
• Accurately enter and maintain patient demographic, insurance, and clinical information in the electronic health record (Athena and/or eClinicalWorks).
• Verify insurance eligibility and assist patients with questions regarding billing, copayments, balances, and payment options while collecting payments as appropriate.
• Screen and route incoming calls to the appropriate department or team member to ensure timely resolution of patient needs.
• Process medical records requests and maintain accurate, confidential patient documentation in compliance with HIPAA and organizational policies.
• Collaborate with providers, clinical staff, and fellow team members to support efficient clinic operations and deliver exceptional patient-centered service.

Additional Experience

• Previous experience in front office or similar role preferred
• High school diploma or GED
• Experience using an Electronic Medical Record system as well as foundational computer skills, including Microsoft Office Suite and the Internet. Ability to navigate at a basic level within web-based applications.
• Ability to learn and follow HIPAA requirements and respect patient privacy rights
• Strong organizational and multitasking skills.

• You have established yourself as a reliable first point of contact for patients by delivering exceptional customer service, maintaining a welcoming front office environment, and ensuring patients are checked in and assisted efficiently.

• You demonstrate proficiency in the electronic health record (Athena and/or eClinicalWorks), accurately scheduling appointments, verifying insurance, collecting required documentation, processing payments, and maintaining complete and accurate patient records.

• You contribute to smooth daily clinic operations by effectively managing provider schedules, coordinating patient communications, supporting the clinical team, and helping maintain an organized, efficient, and patient-centered practice.
