Claims Processing Assistant ll

: The Claims Processing Assistant II provides administrative support to members of the Claims team. Performs a variety of support tasks including processing confidential information and documents, conducting intake calls, and assisting claims adjusters with a variety of administrative tasks. Essential Functions

• Answers phones and directing calls
• Enters new losses into claims system; researches new losses
• Creates and mails acknowledgement letters and claim forms on all new claims
• Manages, organizes, and routes incoming/outgoing mail
• Assists Claims Agents in retrieving work orders and verifying facts and document files
• Locates and ensures proper maintenance of closed files
• Processes faxes and emails
• Maintains supervisor's appointment calendar and occasionally makes appointments without prior clearance
• Types and edits correspondence, memoranda, reports, and other documents
• Maintains and updates files in accordance with established practices
• Processes cleaning invoices in PDS
• Ensures adequate office supplies and equipment inventory for the Claims Division
• Coordinates the storage and retrieval of WSSC Water records
• Receives invoices in the electronic procurement system for payment

Other Functions

• Makes travel and lodging arrangements
• Set up rentals with Enterprise Rent-A-Car
• Maintains attendance records, sorts paychecks and timesheets and routes to proper location
• Prepares and processes all human resources actions
• Performs other related duties as required

• MS Office proficiency, specifically using Word, Excel, PowerPoint, and Publisher
• Superior research, project/case management, and administrative skills
• Ability to utilize and maintain a high degree of discretion, confidentiality and judgment regarding sensitive matters
• Excellent verbal and written communication skills as well as interpersonal skills
• Superior multi-tasking skills, prioritizing projects with stringent timelines and deadlines
• Considerable knowledge of contemporary methods, techniques, procedures, and practices in office management and office processes
• Knowledge of accepted standards and formats for business letters, memoranda and other documents
• Ability to accurately file and maintain office records
• Ability to prepare general correspondence on routine matters
• Ability to perform fact gathering and data management to develop and compile various reports
• Ability to establish and maintain effective working relationships

Minimum Education, Experience Requirements

• High School diploma (or equivalent)
• 3+ years experience as an administrative assistant
