Role Overview

The Contracts Specialist is responsible for supporting the creation, coordination, administration, and monitoring of customer contracts and proposals for the assigned business segment. This role ensures contract documentation is accurate, compliant, and maintained throughout the contract lifecycle while serving as a resource to internal stakeholders regarding contract requirements and processes.

Responsibilities

• Manages all contract/proposal negotiations of all stages, performing all administrative tasks necessary to present a professional and accurate proposal or contract.
• Assists with developing and modifying contract processing procedures and activities; Revises existing procedures or develops new ones to increase efficiency of contract and proposal processing and monitoring.
• Prepares and drafts the necessary reporting documents for review and submission to customers as required, including but not limited to sales proposals, sales reports, project update requirements, PowerPoint presentations, cover letters, contract exhibits, etc.
• Develops standard formats and templates for contract and proposal creation.
• Tracks progress of current contracts. Administers contracts, prepares reports and develops reporting policies to minimize delays. Follows up with necessary branch personnel to ensure required contract documents are being adhered to and/or accurately submitted in a timely manner.
• Coordinates, schedules and takes detailed notes of internal meetings regarding contract/proposal to support effective execution.
• Proactively communicates requirements of contract/proposal to all necessary personnel.
• Manages Supply Force partnership to maximize utilization
• Maintains accurate and comprehensive documentation and archiving of contracts, reports and support documentation.
• Acts as a resource to branches in contract opportunities and proposals.
• Answers questions from branches regarding contract customers and contract requirements.
• Performs other contract administration and sales support duties as assigned.

Requirements:

• Bachelor’s degree strongly preferred.
• At least three (3) years of administrative and contract processing/proposal negotiations experience preferred; will consider those with office management, sales support, or executive assistant backgrounds.
• Proficient in MS Office 365.
• Ability to effectively communicate [written and verbal].
• Thrives in a collaborative team environment.
• Detail-oriented work style, comfortable juggling multiple priorities while maintaining a consistent work approach.
• Physical requirements: sitting, standing, walking, lifting up to 25 lbs, carrying, reaching, pushing, and pulling 5%.
• Ability to pass a background check, MVR check, and drug test.
