Position Overview

We are seeking a highly organized, detail-oriented Employment Case Manager to join our growing team on a full-time, in-person basis. This is a client-facing, operationally critical role responsible for managing the day-to-day administration of a high-volume employment law caseload from intake through resolution. The ideal candidate thrives in a structured, deadline-driven environment, exercises strong professional judgment, and takes genuine ownership of their matters.

Key Responsibilities

Case Setup and Administration

  • Open and maintain new matters in the firm's case management system, ensuring all client data fields are accurate and complete from intake through resolution, including demographics, employment history, case summary, witnesses, referral source, and relevant case details.
  • Calendar statute of limitations deadlines and flag attorney review at critical intervals throughout the life of each matter.
  • Maintain organized, structured digital case files consistent with firm document organization protocols, covering administrative, evidence, pre-litigation, and litigation materials.
  • rack and input matter expenses, including mediation fees and record request costs, in the case management system.
  • Monitor and update matter stages as cases progress through pre-litigation, demand, mediation/negotiation, and litigation phases.

Client Communication and Monitoring

  • Serve as a primary point of contact for clients, maintaining a professional, empathetic, and responsive communication standard at all times.
  • Conduct regular check-ins with active clients regarding treatment status, mitigation efforts, and outstanding evidence needs.
  • Continuously identify and request evidence relevant to each client's claims, using case intake materials and timelines to locate gaps in the evidentiary record.
  • Maintain current case notes and matter records reflecting client updates, defense status, key dates, and case developments.
  • Coordinate with attorneys and legal staff to advance case milestones, including demand packet preparation and witness declaration assignments.

Pre-Litigation Case Workflow

  • Coordinate with attorneys and support staff to move matters through pre-litigation stages, from initial case setup through demand preparation and into mediation or litigation as appropriate.
  • Track incoming case materials, including personnel files, client timelines, and evidence, and ensure they are properly organized, reviewed, and reflected in the case record.
  • Manage communications with clients regarding case status, outstanding items, and next steps in a clear and timely manner.
  • Update defense counsel contact information and relevant matter fields upon receipt of initial correspondence from opposing parties.

Qualifications

Required

  • Two (2) years of experience in a law firm, legal department, or similarly structured professional office environment.
  • Two professional references.
  • Demonstrated experience in a client-facing or client communications role.
  • Consistent, verifiable employment history with no unexplained gaps.
  • Strong written and verbal communication skills; able to communicate professionally and compassionately with clients in sensitive employment matters.
  • Exceptional organizational skills and the ability to manage a high-volume caseload with competing deadlines.
  • Proficiency with case management software (experience with Clio strongly preferred), Microsoft Office, and standard legal office tools.
  • High attention to detail; capable of maintaining accurate records and identifying discrepancies.

Preferred

  • Prior experience in plaintiff-side employment law, including familiarity with FEHA, California Labor Code wage and hour provisions, and wrongful termination claims.
  • Experience with Clio Manage or comparable legal case management platforms.
  • Bilingual (Spanish/English/Farsi) a plus but not required.
  • Paralegal certificate or bachelor's degree in a related field.
