MUST LIVE IN FLORIDA TO BE CONSIDERED Job Title: Senior Oncology CTMS Analyst Job Description The Senior Oncology CTMS Analyst manages and supports the Clinical Trials Management Software (CTMS) for a pediatric research institute, ensuring accurate clinical research data, streamlined study operations, and robust reporting. This role combines hands-on CTMS configuration, data entry, and workflow optimization with collaboration across research, finance, education, and information technology teams to support high-quality oncology clinical trials and research activities. Responsibilities + Manage and support the Clinical Trials Management Software (CTMS) on a daily basis, including adding, editing, and updating study and subject information. + Perform CTMS data entry and maintain up-to-date protocol information, study details, and research subject data. + Create, develop, and maintain study calendars within the CTMS for new studies and protocol amendments. + Build and amend budget shells and financial schedules for new and existing clinical research study protocols. + Generate and deliver metric and KPI reports from CTMS data for research administration and Senior leadership, ensuring accuracy and timeliness. + Update and maintain enrollment and screening dashboards to reflect current research study activity and performance. + Prepare and provide research study progress reports, including patient screenings, enrollments, and other key indicators, to hospital units involved in research. + Collaborate with research finance staff to meet reporting requirements and ensure compliance with research finance policies and procedures. + Enter research patient information and data into the CTMS within 72 hours of enrollment, patient visits, or patient-related events. + Apply Good Clinical Practice (GCP) principles in the conduct and documentation of clinical trials in accordance with established protocols. + Follow the research institute's Standard Operating Procedures, as well as HIPAA and FDA guidelines for clinical research, and stay current with updates to these procedures and regulations. + Translate user requirements into functional and technical design specifications for CTMS and related cloud applications, and review these specifications with stakeholders for accuracy. + Lead small to medium complexity initiatives for the research institute's suite of cloud applications, including upgrades, workflow enhancements, and configuration changes across design, build, and test phases. + Serve as a mentor and subject matter expert on CTMS and related applications for internal and external clients and team members. + Collaborate with the Research Institute Education team to design, deliver, and improve CTMS training and development programs for users. + Act as a liaison between research operations, vendor partners, and the Information Technology Department to coordinate system changes, troubleshoot issues, and optimize performance. + Establish and maintain strong working relationships with hospital departments and research stakeholders to support smooth study operations and communication. + Use software tools such as word processing, scheduling, contact databases, email, web browsers, hospital records systems, and other database applications to support daily responsibilities. + Maintain a high level of organization, accuracy, and confidentiality in all aspects of clinical research data management. Essential Skills + Bachelor's degree (required). + At least 4 years of experience in research and healthcare data entry. + Hands-on experience with Clinical Trials Management Software (CTMS) in a clinical research environment. + Experience in clinical research, particularly in oncology. + Knowledge of clinical trial processes and Good Clinical Practice (GCP). + Understanding of research protocols and research study-related workflows. + Strong compliance mindset with the ability to follow HIPAA, FDA, and institutional policies and procedures. + Excellent communication skills for working effectively with both children and adults in a clinical research setting. + Excellent organizational skills with strong attention to detail. + Ability to manage time effectively and handle multiple tasks and deadlines. + People-oriented approach with flexibility and adaptability to change. + Proficiency with software applications including word processing, scheduling tools, contact databases, email, web browsing, hospital records systems, and other database software. + Ability to interpret user needs and translate them into functional and technical specifications for system configurations and enhancements. Additional Skills & Qualifications + Experience in pediatric clinical research in a hospital setting (preferred). + Previous experience supporting oncology-focused clinical trials or research programs. + Experience mentoring or serving as a subject matter expert for CTMS or similar clinical applications. + Experience collaborating with cross-functional teams such as research administration, finance, education, and IT. + Experience leading small to medium complexity application projects, including upgrades and workflow enhancements. + Familiarity with cloud-based clinical or research applications. + Ability to design and deliver user training related to CTMS or clinical research systems. Work Environment This is a remote position, with the requirement that the employee resides within the specified geographic area as defined by the organization. The role involves significant computer-based work using CTMS, hospital electronic records, office productivity tools, email, web browsers, and other database applications. Work is structured around daily CTMS management tasks, regular reporting cycles, and periodic project work for system enhancements and upgrades. The environment emphasizes collaboration with research staff, finance, education, and IT teams through virtual meetings and electronic communication. The position operates within a regulated clinical research setting, requiring adherence to institutional policies, HIPAA, FDA guidelines, Good Clinical Practice, and established Standard Operating Procedures. Job Type & Location This is a Contract to Hire position based out of Miami, FL. Pay and Benefits The pay range for this position is $28.00 - $38.00/hr.
