Campus Operations Supervisor

Location: Tahoe Expedition Academy (TEA), Truckee, CA Position Overview Tahoe Expedition Academy is seeking an experienced, proactive, and dedicated Campus Operations Supervisor to oversee the physical infrastructure, daily operations, and safety of our PK-12 campus, as well as manage our fleet of school SUVs. This role ensures that all school buildings, grounds, and vehicles provide a safe, functional, and reliable environment that supports our educational and fieldwork-driven mission. The ideal candidate will be a hands-on professional who thrives in an active mountain environment, can successfully manage a team, coordinate event logistics, and engage positively with our student body by providing occasional campus supervision. Key Responsibilities Event Management & Logistics Setup and Execution: Coordinate the physical setup, transition, and teardown for all daily school activities, assemblies, graduations, athletic events, and community gatherings. Traffic & Parking: Oversee event parking, traffic flow, and transportation logistics for on-campus activities, ensuring safe and organized arrivals and departures. Cross-Department Coordination: Collaborate closely with administration, faculty, and parent volunteers to anticipate facility, A/V, and equipment needs well in advance of scheduled events. Event Safety & Vendor Support: Ensure all temporary setups comply with fire and safety codes. Manage external vendors (e.g., tent rentals, staging, portable restrooms) required for large-scale outdoor or indoor events. Fleet & Transportation Management Fleet Upkeep: Manage the routine maintenance schedule for the school's fleet of SUVs, ensuring timely oil changes, tire rotations, brake inspections, and fluid checks. Safety & Compliance: Ensure all vehicles are equipped with up-to-date safety gear (first aid kits, fire extinguishers, snow chains) and comply with state registration, insurance, and emissions requirements. Vendor Coordination: Partner with local auto repair shops and dealerships to coordinate major repairs, bodywork, or specialized maintenance. Logistics & Tracking: Monitor vehicle condition, track mileage, manage gas card expenditures, and maintain an organized checkout/check-in system for faculty using the SUVs for fieldwork. Winter Readiness: Specifically manage seasonal changeovers, including installing snow tires, maintaining wipers/fluids, and ensuring vehicles are prepped for mountain driving conditions. Campus Maintenance & Operations Develop and execute a comprehensive preventative maintenance program for all buildings, equipment, and grounds. Oversee daily custodial and maintenance operations to ensure classrooms, offices, and common areas are clean and well-maintained. Perform and supervise routine maintenance and minor repairs including plumbing, electrical, HVAC, carpentry, and painting. Manage groundskeeping efforts, including landscaping, athletic field maintenance, and campus snow removal. Organize and manage regular community-volunteer maintenance events Leadership & Team Management Hire, train, schedule, and supervise the maintenance and custodial staff. Foster a positive, collaborative, and safety-first work environment within the campus operations team. Conduct regular performance evaluations and provide ongoing training for staff. Safety, Security, & Compliance Ensure all campus facilities comply with local, state, and federal health and safety regulations (e.g., OSHA, ADA, fire codes). Maintain and test safety equipment, including fire alarms, sprinkler systems, and access control systems. Play a key role in the school's emergency response team, managing safety drills and disaster preparedness. Obtain bids, select vendors, and oversee external contractors for specialized repairs, renovations, and capital improvement projects. Manage the combined facilities, event logistics, and transportation budget, track expenses, and order necessary supplies while remaining cost-effective. Student Supervision & Campus Presence Morning Supervision: Provide active and attentive supervision of students on campus before the start of the school day, ensuring a safe, orderly, and welcoming environment during drop-off. As-Needed Support: Step in to assist with occasional student supervision during transitions, recess, or unforeseen staff shortages. Positive Engagement: Maintain an approachable, professional presence among the PK-12 student body, gently reinforcing school behavioral expectations and safety protocols while navigating the campus. Qualifications & Experience Experience: 5+ years of facility management, maintenance, or event operations experience. At least 2 years in a supervisory role. Experience working in an educational or youth-centered environment is highly preferred. Driving Record: Must possess a valid driver's license with a clean driving record. Must be comfortable driving SUVs in winter mountain conditions. Technical Skills: Basic knowledge of automotive maintenance, alongside working knowledge of facility HVAC, electrical, plumbing, and mechanical systems. Soft Skills: Excellent communication and organization skills. Ability to interact professionally and warmly with students, parents, faculty, and contractors. Technology: Proficient in standard office software (email, spreadsheets). Background: Must pass a comprehensive criminal background check and fingerprinting (required for PK-12 school employees). Physical Requirements Ability to stand, walk, and navigate the campus for extended periods. Ability to lift, push, or pull up to 50 pounds. Comfortable working outdoors in various weather conditions, including winter snow. Available for occasional evening and weekend work to support school events or respond to facility/fleet emergencies.
