We are seeking a detail-oriented Program Support Specialist to assist with application processing, contract administration, customer service, and general administrative functions. This role involves working closely with customers, contractors, and internal teams to ensure applications and documentation are processed accurately and efficiently.

The ideal candidate is organized, customer-focused, and comfortable handling inquiries, reviewing financial documents, and tracking projects through completion.

Key Responsibilities

• Process and manage applications from submission through completion.
• Respond to customer and contractor inquiries via phone and email.
• Review contracts and supporting documentation for accuracy and completeness.
• Follow up with customers and contractors to obtain missing or corrected documents.
• Track application status, deadlines, and outstanding tasks using database systems.
• Review financial documents, verify costs, and resolve discrepancies.
• Prepare payment vouchers and coordinate necessary approvals.
• Maintain accurate records and update databases with current information.
• Work with internal teams and external partners to resolve issues and keep projects on track.
• Monitor deadlines and follow up on outstanding items to ensure timely completion.
• Provide backup administrative support to other departments as needed.

Qualifications

• Associate degree preferred.
• 2–4 years of relevant administrative, customer service, program support, or contract processing experience preferred.
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication skills.
• Strong customer service and problem-solving abilities.
• Ability to manage multiple priorities and meet deadlines.
• Experience with databases, financial documentation, or accounting systems is a plus.
• Sales or marketing support experience is desirable.
