Volunteer Coordinator
Meals on Wheels for Fort Collins supports the dignity, well-being, and independence of primarily homebound older adults and other eligible clients in our community by providing hot, nutritious meals and meaningful social connection.
The Volunteer Coordinator plays a key role in supporting the volunteers who make Meals on Wheels Fort Collins possible. This position is responsible for volunteer recruitment, onboarding, scheduling, training, communication, retention, appreciation, recordkeeping, and daily volunteer coordination.
The Volunteer Coordinator works closely with the Programs & Operations Manager and other staff to ensure volunteers feel welcomed, prepared, valued, and connected to the mission. This position helps maintain strong volunteer systems, accurate records, planning, clear communication, reliable route coverage, and a positive volunteer experience.
Because Meals on Wheels Fort Collins is a small nonprofit with daily meal delivery operations, this role also supports daily routing, volunteer check-in, phone coverage, visitor support, volunteer communications, community outreach, and other operational needs. The Volunteer Coordinator must be comfortable working at a desk, on the phone, in front of a computer, and in a fast-paced environment where priorities shift continuously throughout the day.
After training and onboarding in the first 90 days, this position is expected to understand and support daily operations and assist with duties normally covered by colleagues when needed.
Key responsibilities include volunteer onboarding, training & communication; volunteer recruitment & community outreach; volunteer scheduling & daily coordination; volunteer support, retention & appreciation; recordkeeping, data management & reporting; compliance, safety & volunteer standards; route logistics & meal delivery support; volunteer communications, newsletters & storytelling; phones, visitors & general office support; continuous improvement & other duties.
Required qualifications include experience in volunteer coordination, community outreach, client services, nonprofit work, scheduling, administration, customer service or a related field; strong interpersonal skills; excellent organization, time management, and attention to detail; clear written and verbal communication skills; ability to manage ongoing changes throughout the day while remaining calm, flexible, and professional; ability to take initiative and consider the big picture & relevant stakeholders while troubleshooting; basic computer skills; proficiency with Microsoft Office and ability to learn Microsoft 365, volunteer management software, and internal systems; ability to maintain accurate records, protect confidential information, and follow volunteer-related procedures; valid driver's license and reliable transportation; ability to pass criminal and motor vehicle background checks; ability to work outside in varied weather conditions and perform physical tasks related to meal delivery operations, including walking and carrying items as needed; demonstrated positive customer service while maintaining Meals on Wheels Fort Collins protocols and best practices; commitment to teamwork, volunteer appreciation, client dignity, confidentiality, and the mission of Meals on Wheels Fort Collins.
Preferred qualifications include bachelor's degree or equivalent combination of education and relevant experience; one or more years of experience in volunteer coordination, community outreach, client services, nonprofit work, or related roles; experience working with older adults, people with disabilities, caregivers, volunteers, or other community-based service populations; knowledge of best practices in volunteer engagement, recruitment, onboarding, retention, and recognition; experience with Microsoft Office, Microsoft 365, ServTracker CXM, volunteer databases, Canva, Constant Contact, or similar tools; familiarity with Fort Collins and surrounding areas or comfort using navigation tools; experience representing an organization at community events, volunteer fairs, or outreach opportunities; bilingual ability, including English/Spanish or other languages, is a plus.
