Dispatch / Install Coordinator

We are seeking a highly organized and detail-oriented Dispatch / Install Coordinator to support our HVAC, plumbing, and electrical operations. This role is responsible for scheduling installations, coordinating technicians, managing job flow, and ensuring excellent communication between customers, field staff, and management. The ideal candidate thrives in a fast-paced environment and is committed to delivering outstanding customer service and operational efficiency.

Key Responsibilities

• Schedule and dispatch teams for HVAC, plumbing, and electrical jobs and installations
• Coordinate daily job assignments to maximize efficiency and productivity
• Communicate with customers to confirm appointments, installation timelines, and job updates
• Manage and maintain accurate scheduling software and customer records
• Handle inbound calls related to scheduling, rescheduling, and installation inquiries
• Monitor technician availability, workload, and job priorities
• Assist with permit coordination and project documentation as needed
• Resolve scheduling conflicts promptly and professionally
• Update installation invoices with equipment model and serial numbers
• Maintain accurate warranty dates on all invoices
• Add complementary membership plans to customer accounts
• Process applicable rebates and register equipment for extended warranties

Qualifications

• Previous experience in dispatching, scheduling, or coordination (HVAC, plumbing, or electrical industry preferred)
• Strong organizational and multitasking skills
• Excellent verbal and written communication abilities
• Customer service-oriented mindset
• Ability to work under pressure and meet deadlines
• Proficiency with scheduling or service management software (ServiceTitan)
• Basic understanding of HVAC, plumbing, or electrical terminology is a plus
• High school diploma or equivalent required
