South Campus Office Coordinator
Minnehaha Academy is a Preschool 12th grade Christian school and a ministry of the Northwest Conference of the Evangelical Covenant Church. Our mission is to provide a high-quality education integrating the Christian faith and learning.
This position reports to the Preschool and Office Operations Manager and has no direct reports.
Hours: 7:00 am - 3:30 pm with a 30 minute unpaid lunch break.
Position Type and Benefit Eligibility: This is a.83 FTE benefit-eligible, hourly position, working 186 school days plus an additional 30 days, arranged in advance with the supervisor (flexibility offered on additional 30 days).
Pay: $20-24 Hourly
Position Overview: The South Campus Office Coordinator serves as the central administrative hub, managing high-volume front desk operations, visitor relations, and campus-wide communications to ensure a secure and welcoming environment. This role maintains operational continuity by overseeing substitute teacher coordination, daily student dismissal logistics, facility requests, and office resources. Ultimately, the position provides essential front desk support and project assistance to facilitate the daily success of students and faculty at the South Campus. Primary Responsibilities
- Reception & Communications (50%) Act as the primary ambassador for the South Campus, managing the high-volume front desk with a focus on security and hospitality. This includes greeting all visitors, directing inquiries to appropriate destinations, and maintaining a professional atmosphere while serving as the central hub for student, parent, and faculty communications.
- Sub Coordination (20%) Lead the daily logistical coordination for faculty absences. Responsibilities include identifying staffing gaps, securing qualified substitutes through designated platforms, and facilitating the onboarding process for guest teachers to ensure instructional continuity and classroom safety.
- Student Dismissal Coordination (5%) Design and execute daily dismissal protocols to ensure the safe and orderly transition of the student body. This involves coordinating with transportation staff, monitoring high-traffic zones, and resolving real-time logistical challenges to maintain campus security during peak hours.
- Facilities Calendar Maintenance (5%) Maintain facilities calendar, ensuring updates are captured and communicated throughout the building as needed.
- Office Supplies (5%) Monitor and maintain inventory levels for office supplies and the communal copy room.
- Mail Distribution (5%) Manage the intake and distribution of all campus correspondence. Efficiently sort and route high volumes of mail, packages, and internal documents to ensure time-sensitive information reaches the correct stakeholders without delay.
- Student Records (5%) Uphold strict confidentiality and organization in the maintenance of student and data and records.
- Special Projects (5%) Provide ad-hoc administrative support for large-scale projects, including the production of high-quality instructional materials and campus signage (lamination, binding, and formatting) to support faculty curricula and seasonal events.
- Other duties as assigned.
Qualifications
- Associates degree required
- Minimum of 3 years of progressive experience as an Administrative Assistant
- Strong proficiency in Google and Microsoft Office Suite, experience with calendar management, and student information systems
- Superior written and verbal communication skills
- Proven ability to anticipate needs, identify potential issues, and proactively develop solutions.
- Attention to detail, strong organizational skills, and the ability to manage multiple priorities and deadlines effectively
- The ability to build rapport and interact with diverse people with tact and diplomacy
- Demonstrated ability to handle highly sensitive and confidential information with absolute discretion and integrity
- Experience in a Christian organizational environment is highly desirable
