Position Title: Associate, Supply Chain Operations Position Classification: Full-Time, Regular, Nonexempt, 40 hours/week Reports To: Senior Manager, Supply Chain Operations Location: Boston, MA (Note: This role has specific location requirements represented in the responsibilities and requires on-site presence, M-F from 9am-5pm ET) Travel: Up to 10% domestic travel Please note that we do not sponsor U.S. work authorization for this role.Candidates must be able to legally work in the U.S. without visa sponsorship. Position Overview: The Supply Chain Operations Associate is a member of the Supply Chain Operations team within the International Operations department. The Associate plays an important role in supply chain optimization and will execute day-to-day operations related to international and domestic shipment planning, order follow up, and vendor relationship management to support care provision across PIH sites. The Associate will work with vendors and domestic warehouses to ensure orders are processed, inbound shipments are captured in logistics management information system (LMIS), and shipping documents are communicated to care delivery sites in a timely manner. This individual must be detail oriented, organized, and proactive, with a service-oriented mindset and strong communication skills. Responsibilities: Logistics (40%): Physically receive and prepare outgoing shipments from Boston storage location, including palletization and ensuring compliance with all outbound labeling requirements. Regularly review inventory in the Boston and Gloucester storage locations and implement industry-standard inventory management practices. Create and communicate relevant customs clearance documents to site-based teams; keep teams updated on shipment status Adhere to all organizational and donor ordering and shipping procedures; maintain the integrity and transparency of all department records and files Work with site and logistics colleagues and vendors toresolve discrepancies in received quantities andensure inventory is accurate Work closely with assigned consolidation warehouses to ensure inventory is accurate and items are shipped out to final destinations in a timely manner and according to level of priority Manage relationships with assigned 3PLs/outsourced warehouse vendors and freight forwarders, pursue cost‑saving opportunities, monitor performance, and implement process improvements to optimize logistics activities. Order Follow Up (30%): Follow up on order lines that are not yet shipped to ensure shipments plans are in place and timely action taken by vendors and freight forwarders; update expected ship dates in LMIS. Coordinate with assigned site point of contacts to resolve any supplier related issues on delayed order lines. Review team metrics regularly and address any areas requiring immediate follow‑up. Provide coverage for other order and shipping related tasks as needed. Process Optimization (30%): Conduct data analysis, prepare reports as needed and contribute to LMIS data quality improvement initiatives. Contribute to budget preparation and grant reporting Identify and implement process improvements to optimize receiving and outbound shipment workflows, and maximize inventory accuracy Act as supply chain point person for assigned sites and/or departments; communicate needs and priorities to colleagues and managers, with particular attention to identifying supply chain risks. Qualifications: Required Experience, Education, Licenses or Certifications 3-5 years relevant work experience or a combination of work experience and education in procurement, sourcing, logistics, international development, healthcare administration or similar field Skills Required: Ability to lift up to 50 pounds when receiving inventory, preparing outbound shipments, and palletizing boxes Demonstrated success managing large data sets with high attention to detail. Experience using logistics management information systems or proven ability to learn new electronic systems quickly. Ability to follow established processes and experience implementing process improvements. Intermediate Microsoft Excel skills. Demonstrated success responding to a high volume of requests with a customer service approach; ability to react to needs based on changing priorities and with a sense of urgency. Excellent organization and communication skills. Willingness to do important repetitive tasks and data entry and ability to see their connection to larger team and organizational goals. Preferred: Experience with international pharmaceutical and/or medical supply logistics. Proficiency in French and/or Haitian Creole. Other Requirements Physical Requirements : Physical ability to safely lift up to 50 pounds for warehouse duties such as receiving stock, palletizing boxes, and preparing outbound freight. The starting salary range for new hires in this position is between $70,040-$74,160/year and may vary depending on multiple, individualized factors including functional experience and job-related experience.
