Job Senior Associate Specialist, MRO/Indirect

Primary Function: Provide support to the Sourcing Team. Perform various administrative functions associated with Sourcing activities and SAP functionality related to the requisition-to-pay process for Maintenance and Engineering Stores at Hopewell and Spruance sites.

Responsibilities

Accountabilities:

• Assist buyers in maintaining purchasing system (SAP) data, ensuring system data reflects current contract pricing and payment terms and up to date vendor information.
• Process all parts/products' orders for the Stores. (spot orders as well as stock items).
• Help resolve exception notices and other invoicing disputes.
• Resolve requisition to pay issues or escalate same to appropriate buyer.
• Maintain documentation and ensure follow-up for sourcing, quality and safety, health and environmental requirements.
• Work closely with Site Stores personnel, Electrical/Mechanical maintenance and planners.
• Gather information for storeroom related activities, especially regarding description, pricing, and delivery discrepancies, requiring supplier contact.
• Investigate obsolete items and update database as required.
• Expedite orders as needed and work closely with suppliers to follow-up on all issues related with expedites, order acknowledgements and P.O. content issues.
• Process Info record and source list for items generated without that data
• Interface with Accounts Payable to resolve blocked invoice issues, requiring requisitioner, supplier and history research
• Process and distribute required monthly Control Reports and maintain associated files.
• Content Administrator, Share Point (Controlled Document Storage)
• Maintain a close and highly responsive relationship with Internal and External customers,

• Assist Americas Region operations personnel with requisition process and requisition placement as needed.

Qualifications

Knowledge, Experience, and Skills Needed:

Required

• High School Diploma or equivalent required.
• Computer, clerical and Microsoft Office Suite experience required.
• 3+ years of similar experience
• Knowledge and functional capability of SAP.
• Knowledge and understanding of overall requisition-to-pay (RTP) process.
• Strong computer skills to include functional capability with use of all Microsoft Office Suite components.
• Good communication skills, including both written and verbal.
• Ability to interface with all levels of the organization as well as with suppliers and contractors
• Ability to plan, organize and prioritize work activities to optimize efficiency and effectiveness in performing assigned tasks and accountabilities.
• Demonstrated interpersonal skills
• Must be able to work independently receiving minimal supervision and guidance.

• Understand the service needs of a production site
• BA in Business or related field is a plus
