Executive Assistant Benefits of Working at UNCW Employees of UNCW are provided a comprehensive benefits package as well as other programs, resources, policies, and practices that help to support a work/life balance. As a full‑time employee, UNCW also offers a free membership to the Campus Recreation Center, free vaccine and booster shots offered on campus, meditation and yoga sessions, voluntary supplemental insurance coverages, pretax flexible spending accounts, 12 paid holidays, 24 hours of paid community service leave time, paid vacation and sick leave accrual and family medical leave after 12 months of continuous service. We also offer an abundance of training and development programs through our Dare to Learn Academy, and the employee assistance program, many of which are offered free of charge. Recruitment Range $47,000 - $52,127 Vacancy Number S02851 Competency Level Contributing Location of Workplace Main UNCW Campus Home Department UEFA Operations - 33000 Primary Purpose of Organizational Unit This position serves the functional unit of Undergraduate Education and Faculty Affairs (UEFA). Undergraduate Education works through various units to enhance the undergraduate educational experience and provide high‑impact practices. It is comprised of the Honors Scholars College, the Center for the Support of Undergraduate Research and Fellowship (CSURF), Community‑based Learning and Scholarship, University Studies and assessment, and production of the undergraduate catalog. This unit oversees new undergraduate program development and the university's QEP. The Office of Faculty Affairs (OFA) engages faculty in all stages of their career, from hire to retirement. OFA supports aspects of faculty hiring, and coordinates professional development, career advancement, faculty recognition, and leadership development. Brief Summary of Work for this Position This position serves as the primary support for the Associate Provost (AP) for Undergraduate Education and Faculty Affairs. The role requires the ability to thrive in a fast‑paced environment that requires constant reprioritization of tasks. Daily duties will include management of a busy Outlook calendar, project management, drafting agendas, proactively preparing materials and locations for meetings, creating and maintaining documents in MS Teams, and managing written and oral communications with multiple constituencies. Other administrative duties include (but are not limited to) working with the office budget, preparing travel authorizations and reconciliations, completing purchasing requests, completing FLAC and EPAF assignments, planning events, leave keeping (time sheets for the unit) and working with university catering services and other duties as assigned. Position provides backup duties for the Office of the Provost and performs other duties as assigned within the Office of the Provost. Minimum Education and Experience Requirements Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two‑year secretarial science or business administration program and one year of experience as described above; or graduation from a four‑year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions. Preferred Education, Knowledge, Skills & Experience Experience in higher education with handling large volumes of work. Ability to exercise judgement, tact, and discretion in dealing with a wide variety of administrators, faculty, staff, and members of the community. Exercises proactive, forward‑thinking mindset. Solution‑oriented; seeks solutions to problem‑solve independently. Ability to manage multiple assignments, organize work, and establish work priorities with minimal supervision. Ability to analyze, interpret, and implement policy and procedural guidelines. Ability to coordinate a variety of resources in gathering information. Skilled at scheduling and maintaining quickly changing schedules. Ability to effectively manage and coordinate events and meetings. Ability to work with others in a team environment. Experience with University purchasing processes and reconciliation. Experience booking travel and conference reservations. Ample experience with Microsoft Office Word, Excel, PowerPoint, SharePoint, Teams, and Zoom.
