Assistant Project Manager

Position Overview The firm is seeking a Project Coordinator to support its development and construction team in the Park City area. This role will work closely with Project Managers to keep luxury residential projects on track—supporting budgeting, contracts, change orders, monthly draw preparation, and day-to-day communication with clients, consultants, and subcontractors. The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple critical-path tasks at once, with experience in construction administration or real estate development and fluency in Buildertrend or similar project management software. Key Responsibilities Support Project Managers with day-to-day project coordination, including budgets, change orders, and project documentation. Prepare and process monthly draw packages, including subcontractor invoice verification and coordination with the accounting team. Manage project management software tasks such as subcontractor onboarding, COI tracking, draw preparation, RFI/submittal logging, and change order item logs. Serve as a key point of contact between clients and the project team for contracts, change orders, and general project communication. Create and maintain fee spreadsheets, scopes of work, deliverables documents, and consultant agreements, ensuring alignment with client contracts. Draft, update, and distribute meeting agendas, meeting minutes/memos, and other project communication artifacts for multiple weekly project meetings. Maintain up-to-date contact information and drawing logs for clients, consultants, and agencies within project systems and shared drives. Coordinate project punchlists and warranty requests, and help manage project closeout, including Certificate of Occupancy / Notice of Completion and turnover documentation. Provide administrative support for the project team, including coordinating calendars, scheduling meetings, organizing electronic files, and collecting subcontractor documentation (W‑9s, certificates of insurance, licenses). Collaborate with project management and accounting to ensure accurate allocation of consultant invoices, add services, and change orders. Qualifications and Education Requirements AA or BA/BS degree preferred, ideally in a related field (business, construction management, real estate, or similar). 2+ years of administrative, project coordination, or assistant project management experience; construction or real estate development experience preferred. Proficiency with Buildertrend or comparable project management software, plus strong skills in Microsoft 365 (Outlook, Excel, Word, PowerPoint) and Adobe Acrobat. Ability to read and interpret contracts, agreements, and scopes of work, and translate them into clear action items. Highly organized, with the ability to handle multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment. Strong written and verbal communication skills, with a polished, professional presence in front of internal and external stakeholders.
