EHS Systems Coordinator

Position Description:

This position reports directly to the Vice President of EHS and provides daily support for Safety Management System (SMS) applications and related processes. Responsibilities include independently maintaining third-party contractor vetting platforms, managing electronic EHS programs and document control systems, and coordinating revisions and updates to EHS documentation.

The role requires working with limited supervision to support key EHS functions, including safety metrics and trend analysis, training and incident record management, data entry, and proposal/RFP support activities. The position will collaborate closely with multiple service lines across a matrixed organization, serving as a trusted partner to promote a strong safety culture and support the effective execution of EHS initiatives in day-to-day operations.

Essential Functions:

• Support the administration, communication, and distribution of EHS programs, policies, and initiatives.
• Serve as the primary point of contact for the electronic EHS Incident and Observation Management System, including user access, reporting, troubleshooting, and system support.
• Compile, analyze, and communicate safety performance data, including employee hours, incident metrics, and regulatory reporting requirements for internal stakeholders, RFP responses, and Bureau of Labor Statistics (BLS) submissions.
• Serve as the primary point of contact for Medical Management facility listings and communication distribution lists.
• Maintain and manage EHS records retention requirements, including both electronic and hard-copy records.
• Serve as the primary administrator for third-party contractor compliance and prequalification platforms such as ISNet and Avetta.
• Coordinate and maintain data required to support environmental permits, licenses, and renewals.
• Provide administrative support for Workers' Compensation claims and related documentation requests.
• Perform data entry, record maintenance, and reporting within the Learning Management System (LMS).
• Support regulatory inspections, audits, and compliance initiatives by gathering and providing requested documentation and data.
• Assist with the preparation of reports, presentations, and EHS performance summaries for management review.

Physical Demands:

The employee is occasionally required to sit, stand, walk, climb, balance, stoop, kneel, crouch, or crawl. The position may involve exposure to noise, fumes, gases, electrical energy, and adverse weather conditions. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Required Education, Experience, Certification and Licenses:

• High school diploma or equivalent required. Associate's degree or higher preferred.
• Minimum of three (3) years of experience in an industrial, construction, or EHS-related environment.
• Experience with EHS software systems, document control, data management, or contractor compliance platforms preferred.
• Professional safety certifications, such as OSHA 30-Hour, OHST, or equivalent, are preferred.
• Proficiency with Microsoft Office applications, particularly Excel, Word, PowerPoint, and Power BI.
