Admin & Fiscal Support Specialist

Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Hiring Unit: College of Tropical Agriculture and Human Resilience (CTAHR), Maui County

Location: Maui County; Kahului, HI

Salary: $27.00 - $30.00 per hour; salary commensurate with experience

Full Time/Part Time: Full-time or Part-time

Temporary/Permanent: Temporary

Duties and Responsibilities:

1. Provides fiscal and administrative support to assigned department or county office on all fiscal and administrative issues.
2. Maintains budget account information in accordance with established requirements to ensure that data is adequate for their intended use and prepares it in a timely manner.
3. Prepares short- and long-term financial projections relating to contracts and grants and department operating accounts.
4. Collects statistical data to prepare various administrative reports relating to program/project operations and administration.
5. Responsible for initiation of fiscal and personnel transactions and providing complete supporting documentation to the Administrative Services offices for review and approval.
6. Provides administrative support in the review and preparation of grant proposals and modifications.
7. May be required to offer support services department or county office to provided coverage; as required.
8. Participate in training sessions for faculty and staff on fiscal topics.
9. Other duties as assigned.

Minimum Qualifications:

1. Possession of a baccalaureate degree in business administration, accounting, liberal arts or related field and 0 year(s) of progressively responsible professional experience with responsibilities for office management, business administration and/or accounting; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
2. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with office management, business administration and/or accounting demonstrated by knowledge, understanding and ability to apply concepts, terminology.
3. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of office management, business administration and/or accounting demonstrated by knowledge, understanding and ability to apply concepts, terminology.
4. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
5. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
6. Demonstrated ability to operate a personal computer, apply word processing software.

Desirable Qualifications:

1. Demonstrated ability to work independently with minimal supervision.
2. Demonstrated ability to handle confidential and sensitive related matters including safety incidents, legal documentation, budgets, and personnel.
3. Functional ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
4. Familiarity with UH fiscal and/or personnel management systems, such as Kuali Financial Systems; SAP Concur; RCUH Operating System; E-Travel; Aim Enterprise; Enterprise Asset Management; People Soft; STAR System
5. Experience in both academic and fiscal policies and procedures at the university level, including extramural funding policies and procedures.
6. Independent judgment in handling public inquiries.
7. Familiarity with CTAHR operations, campus facilities and/or University of Hawaii operations.
8. Some experience with agricultural research support.
