Client Operations Associate

Altus Wealth Management is a boutique, independent wealth management firm headquartered in Albuquerque, New Mexico, with an East Coast presence in Bucks County, Pennsylvania. You will work closely with our Client Relationship Manager, advisors, operations team, and clients, and you will have a front-row seat to the day-to-day workings of a growing independent wealth management firm. What You'll Do Serve as a warm, professional point of contact for clients by phone, email, and in person. Prepare new account paperwork, account maintenance forms, and DocuSign packages. Review paperwork carefully for missing information, errors, and outstanding issues. Follow client requests and operational items through to completion. Maintain and audit accurate client records, profiles, logs, and files. Assist with meeting preparation and post-meeting follow-up. Help clients navigate online access, portals, electronic signatures, and other technology. Process deposits and client checks electronically or physically as needed. Coordinate mailing, shipping, and document handling. Scan, index, and maintain electronic records. Stay current on changes to forms and procedures and communicate those changes to the team. Troubleshoot routine workflow and technology issues. Help identify inefficient processes and improve them. Step in, fill gaps, and take ownership when something needs to get done. Who We're Looking For Strong candidates will have: 5+ years of administrative, operations, client service, or professional office experience preferred. Financial services experience is a plus, but not required for an exceptional candidate. Associate or bachelor's degree preferred, or equivalent professional experience. Excellent verbal and written communication skills. Strong phone skills and the ability to communicate comfortably with many different personalities. High emotional intelligence and sound judgment. Exceptional attention to detail. Strong follow-through. The ability to prioritize independently and manage multiple competing requests. Strong Microsoft Office skills and the ability to learn new technology quickly. The confidence to solve problems rather than simply pass them along.
