Employee Occupational Health & Wellness is looking for a Staff Specialist to join our team. In this role, you'll serve as a key member of our front-line operations, helping employees navigate occupational health services while supporting the clinical and administrative processes that keep our clinics running efficiently.

You'll interact with employees, providers, nurses, and departments across Duke Health to coordinate appointments, manage health clearances, maintain accurate records, and support employee care from start to finish. Key Responsibilities

Clinic Operations & Administrative Support

• Coordinate employee appointments, registration, scheduling, and discharge for occupational health services.
• Support surveillance programs, work-related injury visits, infectious disease exposures, and employee compliance initiatives.
• Process new employee health clearances by reviewing required documentation and updating applicable systems.
• Manage clinic schedules, including opening, blocking, and rescheduling appointments as operational needs require.
• Communicate with employees, supervisors, and external providers to coordinate specialty care and follow-up services.
• Work efficiently across multiple electronic systems while ensuring accuracy and confidentiality.

Clinical & Provider Support

• Support providers and nurses with documentation, chart audits, and data entry.
• Maintain OSHA reporting information and assist with required regulatory documentation.
• Communicate health recommendations and work restrictions to supervisors and other stakeholders as appropriate.
• Assist the Physical Therapy team by coordinating communication with employees, providers, and Workers' Compensation adjusters.

Reporting, Records & Operational Support

• Review clinic reconciliation reports and resolve discrepancies to support accurate billing and documentation.
• Prepare activity reports and assist with operational reporting needs.
• Maintain confidential employee medical records in accordance with record retention policies.
• Assist in other EOHW roles and duties as operational needs arise at any EOHW, Live for Life or PAS clinic location.

Minimum Requirements:

• Three years of clerical or administrative experience.
• A bachelor's degree in a directly related field may substitute for part of the required experience.
• OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred Qualifications:

• Experience in a healthcare, occupational health, or medical office environment.
• Strong customer service and communication skills.
• Experience scheduling appointments and working with electronic medical record systems.
• Ability to manage multiple priorities while maintaining accuracy and attention to detail.
• Proficiency with Microsoft Office applications and multiple database systems.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $20.60 to USD $28.65.
