Ovadia Plastic Surgery — New York, NY (Financial District)

Compensation: $34.00–$42.00 per hour, commensurate with experience

Schedule: Full-time, in person | 225 Broadway, Suite 3100, New York, NY

ABOUT THE PRACTICE

Ovadia Plastic Surgery is a boutique plastic and reconstructive surgery practice led by a double fellowship-trained, board-certified surgeon. Our flagship office in Lower Manhattan is designed around a personalized, attentive patient experience — and we're looking for the right person to support it.

THE ROLE

You'll be the center of the practice's day-to-day operations — the phones, the schedule, the files, the deadlines — with a high degree of independence. This role is a great fit for an experienced coordinator who enjoys autonomy and takes pride in a smoothly run office. As the practice grows, you'll help train and support new front-office staff.

RESPONSIBILITIES

Office Administration

• Oversee daily administrative operations of the practice

• Develop and maintain office workflows, systems, and standard procedures

• Manage the practice's administrative calendar and deadlines

• Maintain personnel and administrative files; support staffing, onboarding, and HR administration

• Manage vendor relationships, supplies, and office organization

Patient Coordination

• Answer or manage incoming phone lines and patient communications

• Schedule consultations, pre-op, and post-op appointments

• Support patient check-in, front desk flow, and intake

• Conduct outbound calls — confirmations, recalls, patient follow-ups

• Coordinate outstanding items such as clearance letters, referrals, records requests, and insurance correspondence

QUALIFICATIONS

• 5+ years in a medical office, with front-office or administrative leadership experience preferred

• Plastic surgery, dermatology, or other aesthetic/surgical practice experience strongly preferred

• Bilingual English/Spanish preferred

• Strong organizational skills and attention to detail

• Experience with EMR scheduling (ModMed a plus) and Google Workspace

• Polished, warm, professional presence

• Discretion and strict HIPAA compliance
