Brief Description Are you ready to make a real difference in people's lives? Join the Harris Center for Mental Health and IDD as a Materials Specialist. Receives and sorts incoming and outgoing mail and packages according to postal regulations and unit requirements. Responsible for sorting and preparing mail for distribution. Process, sort and stamp U.S. Postal, inter-office/inter-departmental and accountable mail for the agency, The Harris Center for Mental Health and IDD. Process outgoing mail, all classes by using manual and computerized mail processing system. Prepare daily reports and paperwork on out-going mail and parcels. Facilitate the distribution of mail to end-users / staff located at 9401 Southwest Freeway (Agency Headquarters). Respond by telephone to questions and needs related to policies and procedures of the mail area, USPS rules, rates and regulations. Control and track material/packages/equipment from receipt through issue to the customer. Assist in processing end-user request within the areas of: Central Stores, Printing, Fixed Asset and Property Disposal/Surplus. Provide over-the-counter service to walk-in customers. Operates delivery vehicle, uses hand dolly and carries mail. Operate current mail processing equipment. Adhere to all agency training, safety and department housekeeping procedures as assigned or directed. Possess excellent computer, organization and communication skills. Must be computer literate, a team player, punctual and flexible to change. The ability to operate and maintain various types of automated sorting and scanning machines used for mail and equipment processing and distribution; must be able to handle large containers and carry heavy packages and equipment. Perform other duties and special projects as assigned or directed. Report to immediate Supervisor and the Purchase Manager. Your Role In Action Assumes responsibility for the efficient performance of assigned receipt and delivery functions of agency mail and equipment. Sort and organize mail and equipment for daily pick-up and delivery. Hand sort letters and equipment as necessary. . Weigh parcels to determine postage. Makes arrangements for outgoing mail and packages, operating mail processing machine. Check items to ensure that addresses are legible and correct via agency directory; Redirects mis-address items. Bundle, label, and route sorted mail to designated areas depending on destinations and according to established procedures and deadlines. Assumes responsibility for the efficient performance of accurately adding and deleting end-user mail service requests Assumes responsibility for establishing and maintaining effective, professional business relations with mail service suppliers, external contacts and agency end-users. Assumes responsibility for establishing and maintaining effective coordination, communication, and working relations (customer service) with Agency personnel and with management. Assumes responsibility for ensuring compliance with all policies and procedures in relations with mail area and for the provision of agency mail services. Assumes responsibility for accurate operation and maintenance of mail processing equipment. Prepare, maintain delivery schedules and distribute priorities. Assist and supports end-user request within the following categories and or as directed: central stores, printing, fixed asset property disposal/surplus. May be responsible for lifting and moving heavy items. Assumes responsibility for other related duties as required or assigned. Review incoming checks for accuracy (log, calculate) and prepare for submission to Accounting. Review incoming documentation (PO’s) for items received and complete the receiving process in the ROSS Financial System. Responsible for ordering supplies for mailroom as required. Responsible for receiving and monitoring equipment received at the loading dock area. Education High School Diploma or General Education Degree, and or college hours or associate degree. required. Experience Three to five years (3-5) years’ previous related experience in customer service, business operations and or training or equivalent combination of education and experience. Must be computer literate (proficient in MS Word, MS Excel, MS Project and MS Outlook). Experience in a high volume fast past environment Knowledge, Skills & Abilities The person must have well-developed interpersonal, organizational, and problem solving skills, and be a team player with a desire to provide a high level of customer service. Possess strong verbal and written communication skills along with the ability to learn quickly, and interact effectively at all levels within the organization. Must be computer literate (proficient in MS Word, MS Excel, MS Project and MS Outlook) and possess the ability to operate a variety of business equipment. Ability to maintain absolute confidentiality of all work-related matters and ability to communicate effectively and tactfully with all levels of the agency. Must be able to climb stairs and walk extensively. Requires very good working knowledge and experience with PC’, Keyboarding, data entry, and information lookup (must be computer literate). Ability to read and comprehend written material and demonstrate literacy. Ability to perform and comprehend mathematical functions and display basic number literacy. Ability to lift and carry, i.e. equipment, boxed supplies, etc. Ability to perform flexible motions to complete repetitive tasks. Strong ability to work in a production environment under schedule and cost pressure. Must be able to work in stressful situations. Requires the ability to stay under control while working with continually changing multi-task work assignments in a deadline work environment. Must be able to interact with individuals who may be emotionally or physically hostile, agitated or uncooperative. Must be able to operate mail and copier/printing equipment.
