TRIO Programs Specialist

TRIO Student Support Services (SSS and SSS-STEM) and Upward Bound grant programs provide the following services to students from disadvantaged backgrounds: academic and general skills tutoring; academic planning and course selection; information on financial aid and assistance in completing FAFSA; financial and economic literacy; assistance to transfer students; and professional, leadership, and cultural development. Under the supervision of the Executive Director of TRIO Programs and Director TRIO Upward Bound, the TRIO Programs Specialist provides high level administrative support for TRIO programs (Student Support Services or Upward Bound). Each grant project will employ a full time Program Specialist to provide administrative support for grant projects. These positions are funded by a federal grant, and continued employment is contingent upon availability of funds.

Examples of Duties

Manage and maintain complex, confidential databases of student records including but not limited to academic, personal, financial, and clinical records;
Provide direct assistance to the director in the management of a grant projects ranging from $640K to $860K with preparation and budget administration including but not limited to preparing cost estimates for budget recommendations; monitoring and controlling expenditures to report to director; and maintaining an accurate updated daily/weekly internal program budget;
Prepare institutional and federal reports for constituents including but not limited to the Department of Education, Chesapeake College, the program director, and program academic coordinators;
Plan, coordinate, and organize communication strategy with project participants and interested parties where appropriate to grant project.
Gather, collate, and correctly analyze data to ensure that regulatory or accrediting agencies receive appropriate forms and reports;
Design graphic materials as needed, including but not limited to handouts, manuals, student forms, and internal program forms;
Work directly with vendors for acquisition, program software updates, training and troubleshooting;
Lead organization of functions and activities promoted by the TRIO grant projects;
Supervise several part-time and temporary student employees. Maintain accurate time records and approve time utilizing Self Service application;
Participate actively in outreach efforts, employing emerging technologies, and attendance of outreach events;
Coordinate part-time and work study efforts in recruitment and outreach activities;
Responsible for tracking program participant progress for report preparation.
Monitor security and accuracy of program records for project grants (SSS or UB) to ensure compliance with federal requirements.
Plan and coordinate program events, including but not limited to orientations, trips, summer programming, and workshops for project grants.
Participate in ongoing professional development including Department of Education sponsored Trio Priority trainings 1-6.

Qualifications

Bachelor's degree
Professional experience in educational setting or STEM-related professional environment
3-5 years of increasing responsibility in office administration
Excellent planning, organizational, and office/program management skills
High proficiency in word processing, database, presentation, and publication programs
Ability to oversee and maintain accurate hardcopy and database filing systems
Experience preparing detailed records and reports in deadline-driven setting
Ability to work independently on multiple tasks while being an effective team player
Experience working in educational opportunity programs serving disadvantaged populations

Physical Requirements

Most of the job is sedentary, however, occasional periods of light work may be required;
Lifting up to approximately 35 lbs. occasionally.
The worker may be exposed to primarily to inside office conditions.
