The Program Specialist The Program Specialist independently assists in thecoordination of the Institute of Human Virology (IHV's) Divisionof Clinical Care and Research (DCCR) program. This position isexpected to function independently, exercise discretion, andcontributes to assignments and projects that require significantevaluation, originality, and ingenuity. The Program Specialistprovides solutions to issues and judgment outside ofpre-established guidelines or processes. Essential Functions: Develop and schedule Fellowship program work plan in accordance with specifications and funding limitations; oversee daily operations and coordinates activities of program; determine priorities. Assists in the day-to-day activities of the Fellowship Program by providing both administrative and program support and other interrelated activities of other departments or staff to ensure optimum efficiency and compliance with appropriate policies and procedures. Reports to the IHV's Fellowship Director. Coordinates the recruitment of fellows, staff, and faculty. Responsible for the facilitation of onboarding of both fellows and DCCR faculty (equipment, system access, trainings, etc.) Maintains accurate program documentation and supports the collection, tracking, and reporting of data related to fellow evaluations, program requirements, milestones, duty hours, scholarly activities, and other ACGME and institutional GME requirements. Responsible for ordering supplies, procurement of equipment/furniture, making travel arrangements, and submitting reimbursements for fellows, faculty, and staff. Responsible for some logistical activities, including coordinating of vendors, sales staff, customer service representatives, billing representatives, and shippers. Coordinates, monitors, and/or supervises the activities of work-study students, volunteers, and contractual employees. Assists in the development of the fellowship program's annual budget. May make recommendations to local project lead in use of funds. Provides routine and non-routine technical advice, problem-solving assistance, answers to questions and program goals and policy interpretation, and administrative support to the program leadership team. Assists in conceptualization, development, and drafting of written products such as training materials, website content, final progress reports, promotional materials, recommendations, and other information resources for the improvement of the organization e1lement or its programs. Prepare and analyze program financial statements, expenditures, and budgets for management or outside agencies. Develop and facilitate workshops, meetings or conferences, coordinate logistics, scheduling, and participant communications. Assists in evaluating program effectiveness to develop improved methods; devise evaluation methodology and implements; analyzeresults and recommend and/or take appropriate action. Has the authority to formulate, affect, interpret, or implement policies or procedures to ensure effective operation of the program. Using state-of-the-art technology and sophisticated searching techniques, conducts in depth research by conducting literature reviews, online searches, and other research tasks to address client/community's complex and unique information requests. Develops and maintains internet web site files and/or listings. Interacts and maintains liaison with students, faculty, staff, and outside/community agencies in facilitating program objectives. Serves as a primary contact and thinks critically about all aspects of the program to resolve questions and make decisions related to how to best run the program. Provides administrative support to Fellowship Director with day-to-day activities/requests and scheduling. Prepares or assists in preparation of grant proposal/submission for funding and/or funding continuation from outside sponsors for faculty in the division. Performs other administrative duties having a significant impact on the overall goals of program. Qualifications : Education: Bachelors in related field. Experience: Two (2) years' administrative/coordinator program experience. Other: Related experience to program may be substituted for education. Hiring Range: $61,500 - $72,000 (Commensurate with education andexperience.
