Commercial Executive Administrator

As a Commercial Executive Administrator , your primary function is to provide high-level administrative and operational support to the Commercial Office Leasing team. This includes managing lease documentation, coordinating renewals, supporting reporting functions, and ensuring smooth day-to-day operations within a fast-paced commercial real estate environment. What we would like from you: Minimum of 5 years of related administrative or commercial real estate experience Proficient in Microsoft Word, Excel, and Outlook (experience with Yardi, Zoho, and Costar preferred) Draft, redline, and process lease proposals, letters of intent, and lease agreements Collaborate with leasing and legal teams to format and finalize lease documents Draft and manage monthly renewal letters based on broker-provided terms, ensuring approval, mailing, and digital distribution. Track renewal timelines and maintain accurate reporting and CRM updates Prepare and maintain reports including vacancy, renewal, tenant roster, and prospect reports. Assist with preparation and review of invoices, commissions, and expense tracking. Coordinate tenant communications, welcome materials, and engagement initiatives Support marketing efforts including updating property listings, materials, and communications. Maintain CRM database and assist with marketing campaigns Provide administrative support including calendar management, meeting coordination, travel arrangements, and office operations. Maintain and organize filing systems and ensure accuracy of documentation Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities. Strong communication skills with the ability to interact professionally with tenants, brokers, and internal teams.
