JOB TITLE – Financial Operations Analyst

SCOPE & PURPOSE

Under the daily direction of the Executives, the Operations Financial Analyst will be responsible for gathering pertinent analytics on the entire portfolio, communicating those findings to senior level management to make informed financials decisions. (She)he may be asked to perform other duties as assigned by the Executive Team.

Duties & Responsibilities

Duties & responsibilities may include, but not limited to:

  • As the Financial Operations Analyst, this position is responsible for providing financial analysis, project management and utility data for the portfolio. Analyze financial data trends and make recommendations based upon findings.
  • This position will work closely with Residential One’s Executive team and interact with Regional Directors (RDs), Compliance, Accounting, Human Resources, and onsite team members.
  • Work closely with Regional Directors to review and provide feedback on fiscal and calendar year budgets for the portfolio, prior to final submission to the respective Executive (s).
  • Work closely with Regional Directors and Property Managers to schedule and occasionally lead KPI meetings to review and provide feedback and direction.
  • Conduct random audits in accounting software (BP, Yardi, Nexus, and Sage Intacct) to ensure that rents, invoices, POs, and other data are accurately reflected and processed, and meet with internal customers to discuss recommendations and communicate the appropriate corrective action (s).
  • Monitor, audit and report on LIHTC, PBV and market rate rents to maximize revenue and to assist with tracking annual rent increases.
  • Obtain and summarize accounts receivable data for executive consumption.
  • Monitor trends in portfolio performance and assist the Executive VP with building the necessary reporting to provide insights on multifamily metrics and Key Performance Indicators (KPI’s).
  • Analyze portfolio results and identify gaps in performance for non-performing properties against KPI metrics.
  • Provide quarterly asset level and portfolio level financial and variance analysis to include detailed financial reports, financial statements, and budget analysis. Interpret the data and present findings to Executives. Work closely with Regional Directors and Property Managers to ensure that they can interpret and analyze data and assist with training as necessary.
  • Prepare and maintain cash flow projections and financial models for the portfolio with Regional Directors and Executives.
  • Forecasting and budgeting: Assist in the annual budget development and oversight process, analysis and timely completion. Use historical data, market trends, and economic factors to estimate future revenue, expenses and cash flow.
  • Assist CFO and accounting in creating monthly, quarterly, and annual management reporting packages when needed.
  • Monthly review of utility data and usage for portfolio to work with VP of Facilities and Executives to identify areas of opportunity to realize efficiencies.
  • Assist in the development of portfolio level financial models, reports, graphs, metrics, and other analysis.
  • Work closely with the leadership on special projects.
  • Partner with RDs and Executives to complete stabilization calculations for development milestones with lease up communities for internal use.
  • Communicate effectively with department leaders, site staff and executives
  • Other duties as assigned.

Additional Requirements

  • Must have demonstrated strong problem-solving skills and quantitative abilities.
  • Demonstrated ability to work collaboratively within a matrixed team environment.
  • Excellent project implementation, organizational and planning skills. Able to work with time sensitive, detail-oriented material and meet multiple deadlines. Has experience managing multiple projects successfully through constantly changing priorities.
  • Has the interpersonal skills and presence to communicate and interact effectively with all constituencies including with all levels of private and public sector officials.

Qualifications

  • 3-5 years of relevant experience in multi-family management or 5 years of relevant experience at the regional property management level. Some working knowledge of Section 42 (LIHTC) principles and requirements.
  • Bachelor’s Degree with a concentration in Real Estate, Finance, or Business preferred
  • Experience with Yardi & MRI a plus.
  • Strong analytical and quantitative skills with an emphasis in financial analysis
  • Understanding of real estate accounting principles and financial reporting procedures with the ability to analyze variances
  • Able to read, analyze, and interpret complex business documents including partnership agreements, financial reports, contracts, loan documents, and regulatory agreements.
  • Proficiency with Microsoft Office suite. A strong understanding of Excel is a must.
  • Able to work proactively, independently, and as a strategic partner in a team environment.
  • Effective presentation and communication skills, both verbal and written
  • Strong ability to communicate effectively, both in oral and written form.
  • Must be articulate with the ability to be persuasive and organized in thought and composition when speaking with others and when formulating emails, memos, and letters
  • Very organized and detailed oriented
  • Ability to exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions
  • Ability to handle pressure, meet deadlines, and set priorities for workload
  • Must be able to identify and resolve problems in a timely manner and gather and analyze information skillfully
  • Ability to demonstrate accuracy and thoroughness and monitor own work to ensure quality
  • Must have self-motivation and discipline to follow up on action items assigned to the management company and meet deadlines.
  • Ability to interpret responsibilities and possess initiative and willingness to assume additional responsibilities
  • Actively promotes and personally observes safety procedures and uses equipment and materials properly
  • Acts as a team member with all employees
  • Ability to work effectively with clients, external vendors and customers; consistently exhibits a professional demeanor in dealing with others and works to maintain constructive working relationships
  • Must be able to adapt to changes in the work environment; manages competing demands and is able to deal with change, delays, or unexpected events.
  • Ability to travel to and from destinations as necessary

Physical Requirements

  • Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer.
  • May involve periods of standing, such as operating at a copier/fax/scanner.
  • Involves movement between departments, floors, and properties to facilitate work.
  • Involves work such as conducting tours throughout the property/portfolio, usually performed by walking and/or climbing stairs.
  • Regularly required to talk, hear, and use hands and fingers to write and type.
  • Ability to read and understand information and ideas presented orally and in writing.
  • Ability to communicate information and ideas in writing and orally so others will understand.
  • Regularly required to utilize vision abilities, allowing reading of printed material, graphics, computer displays and physical inspection of properties and sites.
