Position Summary

The International Transportation Coordinator is responsible for the quotation, coordination of air, truck, and ocean shipping, as well as preparation and retention of compliant export documentation for international irrigation orders. The incumbent works with our internal Compliance Department to help confirm regulations of the Bureau of Industry and Security (under the U.S. Department of Commerce) and the Census Bureau's foreign trade regulations. The incumbent works with Letters of Credit following the UCP 600 Rules and Incoterms 2010, product classification, ethical best practices, and country-specific import regulations. The main functions of this role are providing on time shipments, negotiated freight rates, routing alternatives, and accurate export documentation which directly impacts Valmont's receivables and customer satisfaction. To complete these tasks, the incumbent must work closely with multiple parties all the way from the beginning of a sale, through the order entry process, to the final delivery of the goods to the customer. In the international marketplace government policies, rules, and regulations are ever-changing. The ability to understand, adapt, and adjust to these policies are crucial to the operations of international business. The International Transportation Coordinator's functions are essential as they mitigate two sources of potential risk for the company: compliance risk and credit risk.

Essential Functions

• Supporting efforts to identify and communicate to management non-compliance with the Code of Business Conduct or other violations of policy or illegal actions.
• Execution of control activities in areas of responsibility.
• Maintain the appropriate professional competencies.
• Accountable to supervisor for responsibilities in internal control.
• Releases ocean containers on a daily basis after containers are loaded and ready for export.
• Works with the local trucking companies to confirm drop and pull dates to match our loading schedules.
• Coordinates the air export shipments from Valley. These shipments include shortages, warranty, and other air export shipments to our global dealers.
• Traces all air export shipments until final delivery is confirmed and updates airfreight matrix.
• Handles the air export freight quotes for all of our global dealers including courier shipments along with Marketing items.
• Updates the International Loading Schedule as the shipments move from booked to loaded to departed.
• Works very closely with Inside Shipping and Outside Shipping Departments on the daily ocean and airfreight loading schedule.
• Works closely with our Corporate Export Compliance Department to confirm the HTS (Harmonized Tariff Schedule) Codes for our exported products along with any ECCN (Export Control Classification Number) or other export documentation.
• Manages the empty container lot check and confirms that the Traffic Module matches the empty containers that are staged in the Valley Empty Lot.
• Handles the airfreight invoice payables in our freight payment system (United States Bank).
• Helps the Senior Transportation Coordinator manage the ocean export documentation on a timely basis.

Required Qualifications

• Associate's degree or 2 years of undergraduate schooling.
• Five (5) years of administrative work experience.
• Two (2) or more years of experience within shipping/transportation or related field.
• Knowledge of shipping product classification.
• Demonstrated knowledge in Microsoft Office Excel, Word, Outlook.

Preferred Qualifications

• Comprehensive knowledge of the Export Administration Regulations (EAR) and Export Control Classification Number (ECCN) on the Commerce Control List.
• International logistics environment that would include creating ocean bookings, classifying export, quoting freight charges on ocean and/or air shipments, creating truck and ocean bills of lading, understanding U.S. (United States) Export Regulations along with Export Compliance, and understanding the Incoterms 2010 Rules.
• Past experience preparing export documentation for shipments under Letters of Credit and Direct Collections.
• Basic understanding of International Incoterms and Letters of Credit following the UCP 600 Rules.

Working Conditions

90% of the work is typically performed in an office environment with some duties that require walking to and from Inside Shipping Department to label air export shipments. The employee may need to walk in the cold, rain or windy conditions and wears the proper PPE (Personal Protective Equipment) which is required for the applicable areas including company-approved safety glasses. Work outside of the office area represents about 10% of the weekly work schedule.

Physical Efforts

This position requires movement around and mainly within the office environment for 90% of their shift. The remainder of the shift could require a small amount of lifting of packages when it comes to the air export shipments that move with our airfreight carriers. The incumbent could be required to lift, carry, bend, kneel, and reach during the course of the time while processing the courier packages. This position also requires walking to the Inside and Outside Shipping areas under 10% of shift.
