Fleet Administrator

The Fleet Administrator is responsible for supporting operational excellence, maintaining high-quality standards, and contributing to the successful execution of company objectives while collaborating effectively with internal teams, customers, vendors, and field personnel.

Primary Responsibilities:

• Perform assigned duties and responsibilities in support of departmental and company objectives.
• Maintain compliance with company policies, safety standards, and operational procedures.
• Coordinate effectively with internal departments, customers, subcontractors, and vendors as required.
• Maintain accurate records, documentation, and reporting related to assigned responsibilities.
• Communicate professionally and effectively both verbally and in writing.
• Assist drivers and branch managers with daily operational activities.
• Ensure quality standards and customer expectations are consistently met.
• Perform additional duties as assigned.

• Strong organizational, analytical, and problem-solving skills.
• Excellent verbal, written, and interpersonal communication skills.
• Ability to work independently and collaboratively in a fast-paced environment.
• High level of attention to detail and accuracy.
• Ability to manage multiple priorities and deadlines effectively.
• Proficiency in Microsoft Office Suite and applicable systems or software.
• Strong customer service and relationship-building skills.
• Ability to pass pre-employment screenings such as background and motor vehicle record checks.
• English speaking, reading, and writing preferred, and required where necessary to perform job duties.
• Maintain professionalism and a positive, respectful demeanor with customers, coworkers, and business partners.

Education/Experience: High School Diploma or GED preferred. Previous experience related to fleet coordinator responsibilities preferred. Equivalent combination of education and experience may be considered. Relevant industry certifications or licenses preferred, and required where necessary to perform job duties.

Physical Requirements:

• Hand movements, including typing and equipment operation.
• Travel as required to support project and operational needs.
• Work in a typical office environment, sitting at a desk and performing prolonged computer work, with occasional standing, walking, bending, and reaching.
• Maintain dependable transportation and consistent, reliable attendance to meet customer service and operational needs.
• Ability to exercise sound judgment and make independent decisions within established company policies and procedures.
• Ability to work overtime, modified schedules, or occasional weekends as business needs require.
• Communicate in person, by phone, and electronically, including on a tablet, smartphone, and other office technology.
• Perform all work on-site and in person; this is not a remote or hybrid position.
• Lift, carry, push, and pull at least 25 pounds.
