Position Objective

The Production Coordinator is responsible for managing communication with production clients, translating their requirements into executable production orders, and maintaining an accurate and reliable production schedule.

Key Responsibilities & Deliverables

1. Client Communication & Order Management

• Serve as the single point of contact for all production clients.
• Understand and document each client's production requirements, specifications, quantities, timelines, and special instructions.
• Translate client requirements into clear, complete, and actionable instructions for the production team.
• Coordinate client requests, changes, questions, and updates with the relevant internal departments.
• Ensure clients receive accurate and timely updates on their orders.

2. Production Planning & Scheduling

• Prepare and maintain an accurate, realistic, and continuously updated production schedule.
• Ensure that production orders are scheduled according to client commitments, available resources, and operational priorities.
• Coordinate with Warehouse, Technical, Quality Control, and Production to verify readiness before scheduling.
• Communicate schedule changes promptly to all affected departments.
• Identify potential delays in advance and propose solutions.

3. Production Order Execution

• Ensure every production order has complete instructions, required materials, and necessary approvals before execution.
• Track production progress against the schedule.
• Coordinate resolution of issues that may affect production or delivery.
• Ensure completed orders are properly communicated and handed over for shipment.

4. Accountability & Deadline Management

• Meet all assigned deadlines and deliverables.
• Provide sufficient advance notice whenever a deadline or commitment is at risk.
• Prioritize responsibilities independently and escalate conflicts before they disrupt operations.
• Maintain accurate production and order status information accessible to management.

Core Accountability

The Production Coordinator owns two critical functions:

1. Client-to-Production Communication: Ensuring that every client's requirements are fully understood, accurately documented, and clearly communicated to the production operation.

2. Production Scheduling: Providing a reliable and executable production schedule upon which the entire production organization can depend.

Success in this position is measured by the accuracy of information, reliability of scheduling, timely execution of commitments, and prevention of avoidable operational disruptions.

Qualifications

• Candidates should possess strong Communication skills, including clear verbal and written communication and effective collaboration with cross-functional teams.
• Candidates should possess Production Planning and Production Management skills to coordinate schedules, monitor progress, and maintain quality and efficiency in daily operations.
• Candidates should possess Project Management skills to support timelines, track deliverables, and help align production activities with overall business goals.
• Candidates should possess Organization Skills to manage documentation, prioritize tasks, and maintain accurate records related to production and inventory.
• Relevant experience in manufacturing, co-packing, or operations coordination is beneficial.
• Ability to work on-site in Carlstadt NJ and adapt to a fast-paced, dynamic environment.
• Proficiency with basic office software (e.g., spreadsheets, production tracking tools) and comfort learning new systems.
• Associate’s or Bachelor’s degree in Operations, Business, Supply Chain, or a related field is preferred but not required.
