Maintenance Administrator

fairlife, LLC is a Chicago-based nutrition company. Job Purpose This position is responsible for managing inventory control within the maintenance storeroom, including receiving, storing, and issuing parts to support maintenance work orders. The role ensures accurate inventory tracking through daily cycle counts using the maintenance inventory system (MVP) and supporting spreadsheets, and maintains proper inventory levels and bin organization. It also oversees purchase order receipts, performs basic inventory and receiving calculations, and continuously improves the organization and layout of the storeroom and maintenance areas to ensure a clean, orderly, and efficient operation. Responsibilities Inventory, stock, and organize parts and supplies for maintenance and production. Modify part numbers, descriptions, and information in MVP (CMMS), maintaining accuracy. Issue replacement parts to mechanics and assist mechanics in locating and selecting parts. Coordinate with the Maintenance Planner to assemble and fill orders. Label/bar-code all inventory parts for tracking usage. Enter receipt and distribution of parts/supplies into the computer to update automated inventory records. Perform ongoing inventory audits of all parts. Receive shipments from vendors, checking vendor packing slips and invoices for accuracy and ensuring quantities received are as stated. Directly issue parts received to open work orders and assign to the proper team or location within the parts room. Communicate orally and via email/Teams with management and coworkers. Work closely with purchasers to resolve part/purchasing discrepancies. Perform other duties as assigned. Skills & Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Perform cycle counts daily, about 250 part SKUs per day. Two to three years parts room experience or equivalent. Detailed record‑keeping and strong attention to detail. Fluent in a CMMS. Maintain accurate inventory records. Proficiency with basic office computer software and ability to learn maintenance software to update work orders, run inventory reports, receive parts, track costs, research and checkout parts. High School diploma or General Education Degree (GED) required. High School level verbal and written communication skills. Basic computational skills; simple math and reasoning required. Ability to operate equipment effectively after the appropriate break‑in period. Working Conditions & Physical Requirements Employees will be subject to ambient temperatures as well as elevated temperatures, up to 110 degrees, due to equipment operation and cleaning. Food Safety Requirements Notify supervision of any repairs or adjustments that may affect product quality or food safety. Observe and comply with the handling and usage of the color‑coded container policy while in the Production Areas. Perform all duties necessary to meet company, customer, and/or government requirements/standards. Initiate action to prevent occurrence of nonconformities related to food safety and product quality. Identify and record any problems related to food safety and product integrity. Control further processing or delivery of nonconforming product until the deficiency is corrected.
